Job Description

The Receptionist will serve as the first point of contact for clients and visitors, ensuring a welcoming and professional environment. The role involves handling front-desk operations, maintaining records related to passport movement, and supporting administrative tasks within the manpower/foreign employment sector.

Key Responsibilities:

  • Greet and welcome clients and visitors with a friendly and positive attitude.

  • Maintain proper records of passport entry and passport out with accuracy and confidentiality.

  • Answer incoming calls and forward them to the appropriate departments.

  • Manage incoming and outgoing mail, documents, and packages.

  • Maintain a clean, organized, and professional reception area.

  • Schedule appointments and meetings for staff members.

  • Assist with administrative duties such as photocopying, filing, scanning, and data entry.

  • Maintain and update Excel sheets and documentation records.

  • Monitor office supply inventory and coordinate orders when necessary.

  • Provide accurate information to clients regarding company services and procedures.

  • Ensure smooth communication flow within the organization.

  • Handle customer inquiries and complaints in a professional and timely manner.

  • Perform additional duties as assigned by management.

Job Specification

Education:

  • Minimum +2 (Intermediate) completed.

  • Bachelor’s degree preferred.

Experience:

  • Minimum 1–2 years of experience in a receptionist or front-desk role.

  • Mandatory: Prior work experience in the manpower/foreign employment field.

Skills & Competencies:

  • Knowledge of passport handling procedures (entry/exit record maintenance).

  • Proficiency in MS Word and MS Excel.

  • Strong communication skills in Nepali and English.

  • Pleasant personality with professional behavior.

  • Good organizational and multitasking skills.

  • Ability to maintain confidentiality and handle sensitive documents.

  • Strong customer service and problem-solving skills.
