Job Description
The Secretary and Documentation Officer will be responsible for managing all documentation processes related to foreign employment procedures, ensuring compliance with DOFE and MOFA regulations. The role requires strong coordination skills, accurate record-keeping, and professional communication with stakeholders.
Key Responsibilities:
Handle documentation processes related to DOFE and MOFA (mandatory knowledge required).
Process and manage Shram approval, pre-approval procedures, and flight documentation.
Prepare and organize demand sets, CVs, deployment documents, and visa-related paperwork.
Maintain accurate records of applicant data, visa documentation, and office files (both physical and digital).
Update and manage Excel tracking sheets with high accuracy and confidentiality.
Securely handle passports and official documents.
Coordinate interviews, meetings, and candidate processing schedules.
Communicate professionally with local and international clients, agents, embassies, and stakeholders via email, phone calls, and official correspondence.
Ensure timely submission of required documents to concerned authorities.
Job Specification
Education:
Bachelor’s degree in Management, Business Administration, or related field preferred.
Experience:
Minimum 1–2 years of experience in documentation/foreign employment consultancy.
Strong working knowledge of DOFE and MOFA procedures (mandatory).
Skills & Competencies:
Clear understanding of Shram approval and pre-approval processes.
Proficiency in MS Office (especially Excel and Word).
Strong documentation and record-keeping skills.
Excellent written and verbal communication skills (English & Nepali).
Ability to maintain confidentiality and handle sensitive documents responsibly.
Strong organizational and time-management skills.
Ability to work under pressure and meet deadlines.
