Job Description

Role Overview

As a Frontdesk/Documentation Officer at Moondrops Travel, you will be the first point of contact for clients and visitors. You will be responsible for managing front desk operations, providing excellent customer service, and handling documentation related to travel services such as tours, ticketing, visas, and itineraries. You will support smooth office operations and ensure accurate and organized documentation for both internal use and client needs.

Key Responsibilities

  • Greet and welcome clients, visitors, and tour guests professionally and courteously.

  • Handle incoming calls, emails, and inquiries; provide accurate information or forward to appropriate departments.

  • Support daily documentation tasks including filing, photocopying, scanning, and managing travel-related files.

  • Prepare, check, and organize travel documents (tickets, itineraries, booking confirmations, visas and related paperwork).

  • Maintain reception area cleanliness and ensure office stationery and documentation supplies are available.

  • Coordinate appointment scheduling and meeting arrangements for staff as required.

  • Assist clients with basic travel service inquiries (tours, flights, hotel bookings, travel insurance).

  • Maintain records of front desk logs, correspondence, and documentation.

  • Support other administrative duties such as data entry, updating databases, and preparing reports.

  • Ensure confidentiality and professionalism in handling sensitive documents and client information.

Job Specification

Educational Qualification

  • Minimum +2 (Higher Secondary) or above (any stream).

  • Additional certification in office administration, customer service, or travel & tourism would be a plus.

Experience

  • Freshers may apply; prior experience of minimum 1 year in a related role (front desk, customer service, documentation) is an advantage but not required.

Skills & Competencies

  • Excellent communication skills in English and Nepali (verbal & written).

  • Strong interpersonal skills with a friendly and professional demeanor.

  • Proficient in Microsoft Office (Word, Excel, Outlook).

  • Good organizational and multi-tasking abilities.

  • Ability to manage documentation accurately and maintain records systematically.

  • Basic understanding of travel services (tours, flight bookings, visa process) is a plus.

  • Strong attention to detail and ability to work independently or as part of a team.
