The Spare Parts Manager will be responsible for the overall management and performance of the Spare Parts Department, including inventory planning, stock control, procurement, parts sales, customer support, and coordination with relevant departments to ensure efficient operations and business growth.
Key Responsibilities
Spare Parts Operations & Inventory Management
- Manage the day-to-day operations of the Spare Parts Department.
- Ensure adequate availability of genuine spare parts to meet customer and workshop requirements.
- Maintain optimum inventory levels based on consumption, market demand, service requirements, and business projections.
- Monitor fast-moving, slow-moving, non-moving, and obsolete inventory and take appropriate corrective actions.
- Ensure proper receipt, storage, identification, preservation, and issuance of spare parts.
- Conduct regular physical stock verification and reconcile inventory discrepancies.
- Ensure accurate system recording and documentation of all parts-related transactions.
Sales & Business Development
- Develop and implement strategies to achieve spare parts sales and profitability targets.
- Identify opportunities to increase retail, workshop, institutional, and dealer parts sales.
- Monitor sales performance and prepare sales forecasts and action plans.
- Build and maintain strong relationships with customers, workshops, dealers, and business partners.
- Ensure timely follow-up on customer requirements, quotations, and orders.
Procurement & Stock Planning
- Analyze parts consumption and prepare timely replenishment requirements.
- Coordinate with the Central Parts/Procurement Team for procurement and availability of required parts.
- Monitor pending orders and ensure timely receipt of parts.
- Recommend inter-branch stock transfers to optimize inventory utilization.
- Monitor inventory ageing and recommend measures to manage excess or obsolete stock.
Coordination & Customer Support
- Coordinate with the Service Department to ensure uninterrupted availability of required parts.
- Work closely with Sales, Accounts, Procurement, Logistics, and other departments for smooth operations.
- Address customer complaints and parts-related issues promptly and professionally.
- Ensure timely communication regarding parts availability, pricing, delivery, and lead time.
Reporting & MIS
- Prepare regular reports on spare parts sales, stock position, inventory ageing, fast/slow/non-moving parts, pending orders, stock shortages, customer outstanding, and sales and inventory forecasts.
- Analyze departmental performance and provide management with recommendations for improving sales, inventory utilization, and profitability.
