Job Description

Overview:


Our client is looking for a Full-Charge Bookkeeper & Admin Assistant (Real Estate & E-Commerce) to own the financial tracking and administrative backbone of a multi-property real estate portfolio and e-commerce operation. In this role, you will have full responsibility for cleaning up historical financial records from inception, maintaining accurate ongoing bookkeeping across personal and business accounts, coordinating with property managers and contractors when needed, and handling entity compliance and administrative tasks. You will work independently with clear systems in place, managing organized OneDrive files and building models that support investor presentations and CPA requirements.


Schedule: Monday - Friday | Flexible hours, occasional availability between 9:00 AM - 5:00 PM Eastern Time (20 work hours per week)


Responsibilities:


  • Review all credit card and bank statements from the first expense ever incurred and categorize income and expenses relevant to the real estate portfolio
  • Maintain detailed financial tracking models for both real estate and e-commerce businesses to support investor marketing and tax preparation
  • Separate business expenses charged to personal accounts from personal expenses on business accounts for accurate CPA reporting
  • Communicate with property managers and contractors as needed regarding payments, invoices, and operational issues
  • Organize and maintain all invoices, LLC formation documents, legal documents, and business records in a structured OneDrive system
  • Manage ongoing compliance, legal filings, and administrative requirements for multiple LLCs and S-corps
  • Handle ad hoc administrative tasks including payroll setup, state registration, vendor coordination, and onboarding support
  • Save and file documents in appropriate folders and maintain organized shared drive structure
  • Make occasional phone calls to insurance companies, mortgage companies, or service providers during Eastern business hours when issues arise
  • Provide accurate record keeping that meets CPA standards for tax deductions and investor reporting


Requirements:


  • Proven bookkeeping experience with ability to reconcile accounts and categorize transactions accurately
  • Experience separating personal and business expenses across multiple accounts and credit cards
  • Strong organizational skills with experience maintaining structured digital file systems
  • Proficiency with financial tracking models and spreadsheets
  • Ability to work independently with minimal supervision on detailed financial cleanup projects
  • Excellent communication skills for coordinating with property managers, contractors, and service providers
  • Comfortable making occasional phone calls to US-based companies during Eastern business hours
  • Experience with administrative tasks including compliance, legal filings, and vendor management


Nice-to-Have Qualifications:


  • Experience in real estate property management accounting
  • Hands-on exposure to multiple business entities (LLCs, S-corps) and understanding entity-level compliance
  • Proficiency with OneDrive or similar cloud-based document management systems
  • Background in supporting CPA firms or preparing financial records for tax purposes
  • Knowledge of e-commerce business bookkeeping
  • Familiarity with payroll setup and state registration processes
