Position: Warranty Officer – 4W After Sales Service
Department: After Sales Service (4 Wheeler)
Job Summary
The Warranty Officer is responsible for managing end-to-end vehicle warranty claim processes, ensuring timely claim submission, verification, approval, and reimbursement in compliance with manufacturer warranty policies. The role requires close coordination with service centers, technical teams, and OEMs to ensure warranty claims are processed accurately while maintaining high levels of customer satisfaction and operational efficiency.
Key Responsibilities
- Process and submit warranty claims to OEMs within the stipulated timelines.
- Verify warranty eligibility based on manufacturer guidelines, vehicle history, and service records.
- Review repair orders, job cards, technician reports, and supporting documents before claim submission.
- Monitor warranty claim status and ensure timely follow-up for approvals and reimbursements.
- Coordinate with dealerships and service advisors to resolve warranty-related issues and discrepancies.
- Maintain accurate warranty records, documentation, and claim history.
- Conduct warranty audits and ensure compliance with OEM warranty policies and procedures.
- Identify rejected claims, analyze root causes, and implement corrective actions to minimize future rejections.
- Prepare periodic warranty performance reports, claim summaries, and reimbursement tracking reports.
- Provide guidance and training to service teams on warranty policies, documentation standards, and claim procedures.
- Coordinate with technical teams regarding goodwill claims, special approvals, and warranty extensions where applicable.
- Ensure adherence to company policies, OEM standards, and quality requirements.
- Support continuous improvement initiatives to enhance warranty processing efficiency and customer satisfaction.
Qualifications
- Bachelor's degree in Mechanical Engineering, Automobile Engineering, Business Administration, or a related field.
- Additional certification in automotive service or warranty management will be an advantage.
- Experience2–4 years of experience in automotive warranty administration, after-sales service, or technical support.
- Experience with passenger vehicle warranty systems and OEM warranty processes is preferred.
- Knowledge of EV warranty processes will be an added advantage.
- Required Skills & CompetenciesStrong knowledge of automotive systems and warranty policies.
- Understanding of vehicle diagnostics and repair procedures.
- Excellent documentation and analytical skills.
- Strong communication and coordination abilities.
- Proficiency in MS Excel, ERP/DMS systems, and warranty management software.
