Key responsibilities

  • Daily valuation-fee verification

• Monitor the company’s nominated bank transaction view and the valuation-payment request queue during rostered Australian business-hour coverage.

• Match each receipt against the relevant customer, property, broker or channel, valuation case, amount and payment reference.

• Record the result in the approved valuation-fee register or workflow, attach source evidence, and immediately notify the Valuation Team when a receipt is verified.

• Place short-paid, overpaid, duplicate, delayed, or unidentified receipts into the exception queue and obtain clarification through the approved internal channel.

• Never treat a screenshot, email, or verbal assurance as cleared funds unless the company’s procedure expressly permits it and the required evidence is present.

• Support refunds or reallocations only by preparing evidence and an approval request; do not independently approve or release funds.

  • Monthly funder statement and commission reconciliation

• During the second half of each month, obtain and organise the commission or reconciliation statements issued by the company’s upstream funding partners.

• Reconcile statement lines against the company’s loan, settlement, and commission records, including upfront commission, trail, fees, adjustments, reversals, and clawbacks where applicable.

• Identify missing loans, duplicate lines, incorrect rates, unexplained adjustments, timing differences, and other exceptions.

• Maintain a loan-level reconciliation workbook and exception log showing the issue, evidence, financial impact, owner, due date, and resolution.

• Escalate material variances promptly and support follow-up with internal teams or the relevant funder.

  • Broker and channel statements, invoices and remittances

• Prepare downstream broker and approved-channel commission statements using the company’s authorised templates and commercial terms.

• Prepare or coordinate invoice documentation and reconciliation schedules in accordance with the approved GST, entity, and payment instructions held on file.

• Validate payee identity, loan attribution, amount, prior adjustments, and supporting statement before the pack is submitted for review.

• Respond professionally to routine reconciliation questions and escalate disputes, policy issues, or commercial exceptions to the responsible Australian manager.

• Maintain version control so the approved statement is clearly distinguished from working drafts.

  • Payment preparation and accountant support

• Compile an approved payment schedule for the accountant, supported by the relevant statement, invoice, approval, and beneficiary record.

• Perform duplicate, amount, entity, bank-detail, and prior-payment checks before the schedule is submitted.

• Assist the accountant with questions, payment-run preparation, remittance records, and post-payment matching.

• Update the payment register only after authorised evidence of payment is received.

• Immediately escalate changed bank details, urgent off-cycle requests, unusual instructions, or suspected fraud. A bank-detail change must not be actioned solely from an email.

  • Records, reporting and process improvement

• Maintain orderly records in the company’s approved Microsoft 365, SharePoint, Excel, Teams, Loan Tracker, or accounting environment.

• Produce concise daily exception updates and a monthly reconciliation status report for management.

• Keep procedure notes, checklists, templates, and control evidence current and easy for another authorised team member to follow.

• Identify recurring payment-reference, invoice, statement, or data-quality issues and recommend practical improvements.

• Support internal review, external accounting queries, and audit requests by retrieving complete, well-labelled evidence.

  • Communication and service

• Work closely with the Valuation Team, Finance, Lending Support, Settlements, and Australian management.

• Acknowledge urgent requests promptly, communicate what has and has not been verified, and give a realistic next update time.

• Use clear professional English in Teams messages, emails, reconciliation notes, and broker-facing documentation.

• Protect relationships while remaining firm on documentation, approval, and payment-control requirements.

Essential

Experience, skills and attributes

• At least 3 years' relevant experience in bank reconciliation, accounts receivable, accounts payable, commission operations, finance operations, or a similar controlled processing role.

• Bachelor's degree in accounting, finance, business, or a related discipline, or equivalent practical experience.

• Demonstrated ability to reconcile high-volume or multi-party transactions and explain variances clearly.

• Strong Microsoft Excel capability, including lookups, SUMIFS, pivot tables, filters, data validation, and structured reconciliation workbooks.

• Strong written and spoken English and confidence in communicating with an Australian-based team.

• Exceptional attention to detail, numerical accuracy, follow-through, and respect for deadlines.

• Sound judgement: able to stop a process, document uncertainty, and escalate rather than make an unsupported assumption.

• High integrity and willingness to comply with confidentiality, privacy, information security, and segregation-of-duties requirements.

Preferred

• Experience in mortgage lending, banking, fintech, insurance, broker commissions, or an Australian financial services support environment.

• Experience with Xero, MYOB, QuickBooks, or another accounting platform.

• Experience using Microsoft 365, SharePoint, Teams, Power Query, Power BI, or workflow / CRM systems.

• Familiarity with commission statements, loan-level reconciliations, GST-inclusive documentation, remittance schedules, and payment-run controls.

• Experience supporting a remote or cross-border team with documented service levels.

Remote-work requirements

• Based in Kathmandu or within a practical commuting distance for any required local onboarding or meetings.

• Able to work an agreed early shift that overlaps with nominated Sydney business hours. The exact Nepal roster will be disclosed and agreed upon before the offer and may change seasonally with Australian daylight saving.

• Reliable high-speed internet, backup connectivity, dependable power or UPS support, and a private workspace suitable for confidential financial information.

• Able to use a company-approved device, multi-factor authentication, secure file storage, and other security controls.
