Job Description
Job Purpose
To support the execution of institutional and tender business activities in Nepal to drive sales in alignment with overall business objectives.
To assist in identifying tender opportunities, coordinating documentation, and ensuring timely participation in institutional tenders.
To facilitate smooth execution of orders, coordination with internal and external stakeholders, and timely collection of payments.
Key Accountabilities
Tender Identification & Coordination Support
- Track and monitor tenders published by government and non-government institutions in Nepal (e.g., Ministry of Health, government hospitals, army/police hospitals, and local bodies).
- Assist in reviewing tender documents to check eligibility and participation requirements.
- Maintain a database of relevant tenders and support prioritization based on product fit and business potential.
- Coordinate with the reporting manager to align on tender participation decisions.
- Support communication with internal stakeholders for tender-related activities.
Tender Participation & Documentation
- Prepare and compile all required documentation for tender submissions.
- Coordinate with regulatory authorities to obtain necessary approvals and documentation for Cipla products.
- Liaise with internal teams (marketing, finance, and supply chain) to gather inputs required for tender submissions.
- Support pricing coordination by collecting inputs and ensuring documentation accuracy.
- Ensure timely and complete submission of tender applications as per guidelines.
- Assist seniors during discussions or negotiations with tender authorities when required.
Order Execution & Payment Follow-up
- Verify order-related documentation before processing for fulfillment.
- Track order status and highlight delays or issues to the reporting manager.
- Coordinate with planning teams to support urgent order execution when required.
- Follow up with institutions to ensure timely payment collection as per agreed terms.
Claim Process
- Manage end-to-end institutional claim processing, ensuring submission within the 30-day timeline.
- Review and validate claims, including supporting documents such as rate approvals and tender documentation.
- Ensure proper collection and verification of supply and dispatch proofs.
- Track and follow up on claim status to ensure timely approvals and settlements.
Product & Market Support
- Track performance of products in institutional business (including slow-moving items).
- Collect and share market intelligence related to competitor pricing, tender trends, and institutional demand.
- Support analysis of product performance and provide inputs to the reporting manager.
- Assist in execution of initiatives to improve sales of low-performing products.
Educational qualifications:
Marketing Degree
Relevant Experience:
- 1-3 years of experience in business development with experience in tender business preferably within pharma industry/FMGC.
- Strong relationship management skills.
- Strong communication and negotiation skills.
