Job Description
The Medical Receptionist will be the first point of contact for all patients and visitors. This role requires exceptional communication skills, organizational abilities, and basic medical knowledge to provide a seamless patient experience. The primary responsibilities include:
Patient Interaction & Communication:
- Warmlywelcome and assist patients and visitors, ensuring a positive experience.
- Answer, screen, and forward phone calls, providing accurate information regarding medical services, procedures, and appointments.
- Handle patient inquiries professionally and empathetically, addressing concerns and providing clear guidance.
- Collect and verify patient information, including health history and insurance details, ensuring confidentiality.
Appointment Management
- Schedule, confirm, and update patient appointments efficiently.
- Maintain an accurate and up-to-date appointment calendar, ensuring smooth coordination of daily schedules.
- Notify patients of any changes or cancellations in a timely manner.
Administrative Duties:
- Managedaily mail, deliveries, and couriers.
- Perform receptionist duties such as filing, photocopying, and maintaining patient records.
- Generate invoices, process payments, and issue receipts accurately.
- Maintain the patient database and update medical records in compliance with data protection laws.
Medical Support Coordination
- Actasaliaison between patients, medical professionals, and administrative teams.
- Assist patients in understanding treatments, medications, and post-treatment care instructions.
- Maintain inventory of medical supplies and coordinate procurement with relevant departments.
Reporting & Documentation
- Maintain accurate records of daily transactions, including sales and patient registrations, using accounting or clinic management software.
- Prepare and submit daily, weekly, and monthly reports on sales, client flow, and staff performance.
- Ensure accurate and timely updates of patient OPD cards and billing records.
Facility & Operations Management
- Ensure the reception and waiting area are clean, organized, and presentable at all times.
- Monitor and manage the stock of medical and non-medical supplies.
- Provide administrative support to the healthcare team to ensure smooth clinic operations.
Job Specification
- Proven experience as a Medical Receptionist or similar role in a healthcare setting.
- Basic understanding of medical terminology, procedures, and billing processes.
- Excellent verbal and written communication skills.
- Proficiency in using clinic management software, accounting software, and MS Office tools.
- Strong multitasking, time management, and problem-solving skills.
- Friendly, empathetic, and professional demeanor.
- Knowledge of health and wellness is a significant advantage.
- Certification or training in healthcare administration is a plus.
