Job Summary

BooksAlign is seeking a Marketing and Admin Assistant with 1+ years of experience to support consultancy marketing activities and daily office administration. The role is ideal for someone who can manage customer and contact records, coordinate schedules smoothly, and communicate professionally to help inquiries convert into meetings.

Key Responsibilities

  • Support marketing coordination by drafting and sending email follow-ups, announcements, and inquiry responses.
  • Maintain and update customer/contact databases to ensure accurate records and reliable outreach lists.
  • Assist with basic CRM updates, tracking leads, and recording interaction notes in line with the team’s process.
  • Coordinate meeting scheduling by confirming availability, sending invitations, preparing meeting reminders, and tracking outcomes.
  • Manage day-to-day administrative support, including document preparation, filing, and maintaining organized office records.
  • Handle inbound calls and customer queries, routing requests to the right person and ensuring timely resolution.
  • Prepare simple reports or trackers in Microsoft Office (e.g., email status, lead lists, schedules) for internal review.

  • Microsoft Office — confident using Excel and Word for trackers, document formatting, and organized reporting.
  • Excellent written and verbal communication — able to explain services, respond to queries, and draft concise messages.
  • Meeting scheduling and coordination — able to manage calendars, confirm appointments, and reduce missed meetings.
  • Strong organisational and time-management skills — able to prioritize multiple tasks, meet deadlines, and keep workflows structured.

  • Bachelor’s degree in Business Administration, Marketing, Mass Communication, or a related field (or equivalent education).
