Role OverviewWe are looking for an experienced Outbound Holiday Specialist who can independently manage the full lifecycle of outbound holiday packages — from initial enquiry to post-trip follow-up — while also mentoring and training junior staff. This is a hands-on, ownership-driven role ideal for someone who thrives in a small team environment and is comfortable managing both client-facing and operational responsibilities.
Key ResponsibilitiesHoliday Package Management
- Handle end-to-end outbound holiday enquiries: consultation, itinerary design, costing, booking, and after-sales support
- Design customised and packaged holiday itineraries (flights, accommodation, tours, transfers, travel insurance, visas) based on client needs and budget
- Liaise with international suppliers, airlines, hotels, and DMCs (Destination Management Companies) to negotiate rates and confirm bookings
- Ensure accurate documentation, invoicing, and timely payments/collections for all bookings
- Monitor and resolve issues during client travel (flight changes, emergencies, itinerary adjustments)
- Stay current on visa requirements, travel advisories, destination trends, and competitor offerings
Sales & Client Relationship Management
- Convert enquiries into confirmed bookings through consultative selling
- Build and maintain long-term relationships with repeat clients and referral sources
- Upsell and cross-sell related travel products (insurance, add-on tours, upgrades)
- Meet individual and team sales/revenue targets
Team Training & Leadership
- Train, mentor, and support junior staff and new hires on holiday packaging, supplier systems, and client handling
- Develop and maintain SOPs, checklists, and training materials for the outbound holiday desk
- Review junior staff's itineraries and quotations for accuracy before client submission
- Act as the go-to escalation point for complex outbound queries
Coordination & Reporting
- Coordinate with the Melbourne head office and NZ branch to align on pricing, promotions, and shared supplier arrangements
- Maintain accurate records in the booking/CRM system
- Provide regular reports on sales performance, booking pipeline, and market feedback to management
- Minimum 2–5 years of experience in outbound travel/holiday packaging, preferably with an established travel agency or tour operator
- Strong knowledge of international destinations, airfare ticketing, visa processes, and travel documentation
- Proven track record in travel sales and client relationship management
- Prior experience training, supervising, or mentoring team members
- Proficiency with GDS/booking systems and CRM tools (or willingness to learn company systems)
- Excellent communication, negotiation, and problem-solving skills
- Ability to work independently and take ownership in a small-team, multi-location setup
- Bachelor's degree in Travel & Tourism, Hospitality, Business, or a related field (preferred)
