Role Description
The Office Coordinator is responsible for managing daily office operations, maintaining administrative efficiency, coordinating internal activities, supporting HR and management, and ensuring a productive and well-organized work environment. The ideal candidate should possess excellent organizational, communication, and multitasking skills.
Key Responsibilities
Office Administration
- Oversee the daily administrative operations of the office.
- Ensure the office environment is clean, organized, and fully operational.
- Maintain office supplies and coordinate procurement when required.
- Monitor office equipment and arrange maintenance or repairs.
- Manage incoming and outgoing correspondence, courier services, and official documents.
- Coordinate with internal departments to ensure smooth workflow and communication.
- Schedule meetings, appointments, and conference room bookings.
- Prepare meeting agendas, take minutes, and follow up on action items.
- Assist management in coordinating company events, training sessions, and employee activities.
- Maintain physical and digital records in an organized and confidential manner.
- Prepare reports, letters, memos, and other administrative documents.
- Track office expenses and maintain administrative records.
- Ensure proper filing and document control procedures are followed.
- Assist HR with employee onboarding, orientation, and documentation.
- Maintain employee attendance and leave records when required.
- Coordinate interview schedules and support recruitment logistics.
- Support employee engagement activities and internal communications.
- Coordinate with vendors and service providers for office-related services.
- Monitor housekeeping, security, utilities, and facility maintenance.
- Ensure compliance with office health, safety, and company policies.
- Bachelor's degree in Business Administration, Management, Human Resources, or a related field.
- Minimum 1 year of experience in office administration, office coordination, or administrative support. (Fresh graduates with exceptional organizational skills may also apply.)
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Experience with document management and office coordination is preferred.
