Job Description
Job Purpose:
To promote core values and enable business success through planning, implementing, and evaluating employee relations and human resources policies, programs, and practices.
Key Responsibility Area (KRA):
1. Talent Acquisition / Recruitment / Letter Preparation
· Sourcing of quality profiles from database/Job Portal/recruitment agency as per business requirements plan.
· Prepare job announcement and advertisements.
· Fix up an appointment with HOD and lined up shortlisted candidates for an interview.
· Ensure all position duly approved by hiring committee through HRF & JD.
· Letter - Offer, Appointment, Contract and if any other as per requirement.
2. PIS / Induction / Joining / Orientation / Personal File Management
· Ensure Joining formality, Induction & orientation in sound and effective manner.
· Employee PIS Information to be update in HRM System
· Ensure employees Personal file to be update as per checklist before allotment of appointment letter.
3. Correspondence and Communication
· Create written and verbal communication for notice / circular / Code of Conduct
4. Probation & Confirmation Review / Exit Process
· Preparing Probation Period Review Form & MIS
· Schedule the Probation / Service Contract Renewal
· Coordinating with HODs for timely completion
· PIP and Extension Letter Generation
· Complete Exit Process: Resignation / Handover – Takeover / Clearance Form and settle the final payments.
· Letter – Exit Letter (RF/SSF) / Experience Letter
5. Compensation & Benefits
· Ensure best remuneration is offered to the new joinees.
· Support for the compensation and benefits task to the reporting supervisor.
· Verifying the contractor, security and vendors agreement & bills and update reporting supervisor.
· Salary advance & Loan, Reimbursement, Canteen & any other bills to be verified.
6. Time Office
· Employee time office mgmt., attendance reconciliation, Leave & overtime calculation
· Field work verification & missed punch in coordination with line manager.
· Update Shift and monitor for Absenteeism
7. Payroll & Statutory Compliance
· Payroll Process, SSF, CIT Calculation on timely and generate challan and submission.
· Calculate Annual Salary Grade, Draft Annual Holiday, Dashain Allowance,
· Calculate Leave Encashment and disbursement to employees
· Prepare Labour Audit and Submit on timely.
· Update minimum wages changes, calculate cost and forward for the approval.
· Ensure National Holiday Payment on timely
· Calculate the F&F for the final Settlement.
· Assist for the Bonus Calculation if applicable.
8. Insurance Claim
· Initiate insurance claim process in a timely and accurate manner.
9. Grievance Handling & Disciplinary action
· Handle & Maintaining records related to grievances and disciplinary actions.
10. Others HR operations
· Plan & execute of Appraisal System of employees in coordination with Mgmt. / HODs
· Monthly Ncell Payment List finalization and coordinate to the account for payment
· Coordinate with account for the payment of Sales & Non – Sales Employees Reimbursement
· Indian Employee Registration in Indian Embassy
· Facilitate for ID Card - Business Card
11. Report: Preparing Monthly HR MIS report and Daily Manpower & weekly report.
12. Qualification: BBA/MBA - Graduate.
13. Experience: Minimum 2 years Experience & knowledge about the Labour Act of Nepal.
