Job Description
As a Receptionist, you are responsible for managing our front desk on a daily basis and to perform a variety of administrative and clerical tasks. You will be serving as the first point of contact in the office.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Responsible for handling, answer, screen and forward all the incoming and outgoing calls without delay.
- Responsible to deal with all inquiries in a professional and courteous manner, in person, on the telephone or via e-mail.
- Greet and welcome guests as soon as they arrive at the office.
- Direct visitors to the appropriate person and office.
- Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures).
- Provide basic and accurate information in-person and via phone/email
- Receive, sort and distribute daily mail/deliveries.
- Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges).
- Order front office supplies and keep inventory of stock.
- Update calendars and schedule meetings.
- Arrange travel and accommodations.
- Keep updated records of office expenses and costs.
- Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing.
- To keep close eye on the staff attendance both on register and electronic machine and inform HR if any discrepancies.
- Be aware of and report suspicious activity
- To contribute to team effort by accomplishing related results as need.
- To deliver excellent customer service, at all times
- Booking and preparing meeting, conference and training room, informing participants.
- Handle basic bookkeeping and cashiering duties
- Other works as and when assigned by the concerned authority.
Job Specification
- +2 / Bachelors in business administration.
- Minimum 1 years of experience.
- Proficiency in Microsoft Office Suite
- Hands-on experience with office equipment (e.g. fax machines and printers)
- Professional attitude and appearance
- Solid written and verbal communication skills
- Ability to be resourceful and proactive when issues arise
- Multitasking and time-management skills, with the ability to prioritize tasks
- Customer service attitude
