Job Description
As an Office Secretary at Fireflies Travel & Tours Pvt. Ltd., you will be responsible for assisting with core administrative and coordination duties to ensure smooth office operations. You will act as the first point of contact for internal teams and external clients, support management with daily tasks, and help maintain an organized and professional office environment.
Key Responsibilities:
Provide general administrative support, including drafting, typing, and preparing correspondence, reports, and documents in both English and Nepali.
Manage and maintain office filing systems—both physical and digital—ensuring documents are easy to retrieve.
Greet and assist visitors, inquiries, and walk-in customers with courteous service and professionalism.
Handle incoming and outgoing communications—phone calls, emails, letters, and messages—and respond or redirect as appropriate.
Schedule appointments, meetings, and travel arrangements for team members and managers.
Maintain and update office logs, calendars, schedules, and records as required.
Assist with travel booking support, communication with clients, and coordination with the reservations team when necessary.
Support HR and operations with onboarding documentation, meeting minutes, and staff schedules.
Coordinate office supplies and equipment inventory, placing orders and tracking usage.
Assist in preparing internal memos, presentations, and reports as requested.
Ensure confidentiality of documents and protect company information at all times.
Job Specification
Minimum Bachelor’s degree in Business Administration, Management, Tourism, or a related field preferred.
Experience:
At least 2 years of relevant experience in a secretarial or administrative role. Experience in the travel and tourism industry is a plus.
Fresh graduates with strong communication skills and a willingness to learn are highly encouraged to apply.
Skills & Competencies:
Excellent English and Nepali communication skills (verbal and written).
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and comfortable with office equipment (printers, scanners, phones).
Strong organizational and multitasking abilities with attention to detail.
Professional demeanor, good interpersonal skills, and ability to work independently.
Reliability, punctuality, and dedication to maintaining confidentiality.
Basic understanding of office management tasks and travel agency operations.
Ability to handle client interactions and inquiries professionally.
