Job Description

Ghothane Lawyers is seeking a dedicated and detail-oriented Office Secretary to support daily administrative, operational, and client-handling activities. The primary audience in Australia includes Nepali and Indian communities, while in Nepal the role supports nationwide operations, refined to specific metropolitan and regional areas.

Key Tasks & Responsibilities

  • Provide day-to-day administrative and operational support to management.
  • Assist the manager with assigned duties and responsibilities.
  • Travel within and outside Kathmandu Valley for official work as required.
  • Respond to and track client inquiries through social media platforms.
  • Schedule appointments and manage lawyers’ calendars efficiently.
  • Organize meetings, events, and internal schedules.
  • Handle incoming calls from clients in Australia and Nepal.
  • Professionally welcome and assist office visitors.
  • Scan, name, organize, and upload documents into the CRM system.
  • Coordinate with auditors to lodge VAT, annual tax, and other statutory compliance.
  • Prepare expense and revenue reports, including billable items and reimbursable expenses.
  • Prepare invoices, track payments, and maintain financial records.
  • Record daily financial transactions (sales, purchases, receipts, and expenses).
  • Reconcile bank statements with recorded transactions to ensure accuracy.
  • Assist counselors with student applications for college admissions and visa processing.
  • Support paralegals with external tasks such as training plans and working hours calculations.
  • Collect, verify, and organize client documents as required.
  • Maintain accurate and up-to-date client records in both physical and digital formats.
  • Assist clients in completing application forms in compliance with legal requirements.
  • Liaise with government agencies, embassies, and legal institutions.
  • Manage visa processing and college admissions for students applying to Australia, Canada, the UK, the USA, and New Zealand.
  • Regularly update students on application status and address concerns.
  • Maintain comprehensive records of academic documents, visa files, client visits, and correspondence.
Job Specification
  • Bachelor’s Degree (minimum 4-year program).
  • Two-wheeler license is an added advantage.
