Job Description
About The CompanyWe are seeking a detail-oriented and proactive Spare Parts & Service Coordinator to support spare parts operations, service center coordination, reporting, documentation, and claims processing. The ideal candidate should have good communication skills, basic knowledge of MS Office, and the ability to manage multiple tasks accurately within deadlines.
Key Responsibilities
- Process Spare Parts Purchase Orders (POs) based on Service Center requirements and operational demand.
- Prepare and circulate daily pending reports to support timely tracking and follow-up of pending service cases.
- Process Parts Sales Return Notes (SRNs) and maintain accurate documentation in line with established procedures.
- Maintain the Order Forecasting System (OFS) by ensuring timely and accurate updates of spare parts forecasting data.
- Coordinate with Service Centers for the timely collection and dispatch of replaced defective parts to the Used Parts Collection (UPC) Center.
- Process in-stock defective parts claims and ensure timely submission and proper documentation in accordance with applicable guidelines.
- Coordinate with the Retail Sales Team to facilitate stock repair cases and ensure their timely resolution.
- Prepare and submit monthly attendance reports to the HR Department.
- Maintain accurate records and documentation related to spare parts, service cases, claims, and returns.
- Follow up with relevant teams to ensure pending issues are resolved within the required timelines.
- Good communication and interpersonal skills.

- Basic knowledge of MS Excel and MS Office.

- Ability to work collaboratively with Service Centers, Sales, HR, and other internal teams.
- Willingness to learn and adapt to operational systems and procedures.
- Bachelor’s degree or equivalent qualification in Business Administration, Management, Commerce, or a related field will be preferred.
