Role Description The HR and Admin Associate is a full-time, on-site role based in Kathmandu at Samaj Dental Hospital. This role is responsible for supporting day-to-day HR operations, including maintaining employee records, assisting with recruitment processes, onboarding new team members, and coordinating performance review and training activities. The associate will manage routine administrative tasks such as handling office documentation, coordinating staff schedules, and supporting compliance with hospital policies and procedures. The role also involves serving as a key point of contact for staff queries, ensuring effective internal communication, and providing logistical support for meetings, events, and training sessions. The HR and Admin Associate works closely withKey Responsibilities
Manage employee attendance, leave, overtime, and other HR records.
Maintain employee personal files, contracts, certificates, and other HR documents in an organized physical and digital filing system.
Support employee joining, documentation, orientation, and other HR processes.
Regularly update employee information and HR-related records.
Assist in implementing company HR policies, procedures, and administrative practices.
Coordinate and visit various government offices and relevant authorities for company renewals, registrations, approvals, submissions, and follow-ups.
Prepare, submit, and follow up on official documents and applications required by government and other external offices.
Prepare and assist with official letters, applications, notices, reports, and other correspondence in English and Nepali.
Perform Nepali typing and prepare official documents as required.
Maintain and organize company, employee, and administrative documents in both physical and digital formats.
Coordinate office stationery, supplies, and other general administrative requirements.
Coordinate with different departments and branches regarding HR and administrative matters.
Provide regular updates and reports to the HR & Admin Manager or Management.
Visit branches, government offices, banks, institutions, and other external locations as required for official work.
Maintain confidentiality of employee information, company records, and official documents.
Perform other HR and administrative duties assigned by Management.
Qualifications & Skills
Bachelor’s degree in Human Resources, Management, Business Administration, or a related field preferred.
Prior experience in HR and Administration will be an advantage.
Good Nepali typing skills are mandatory.
Good knowledge of MS Word, MS Excel, email, and other office applications.
Good communication, coordination, and interpersonal skills.
Strong documentation and record-keeping skills.
Basic understanding of government office procedures and documentation.
Ability to work both in the office and in the field.
Valid two-wheeler driving license and ability to ride a motorcycle/scooter are mandatory.
Responsible, organized, disciplined, and professional.
Ability to handle confidential information with discretion.
Willingness to travel to different government and external offices as required.
