Job Description
Client Interaction:
Greet clients warmly and ensure they feel welcomed.
Answer incoming calls, direct them to the appropriate person or department, and take accurate messages.
Respond to client inquiries about travel packages, bookings, and services both in person and over the phone.
Administrative Duties:
Schedule and confirm appointments for clients with travel consultants.
Maintain and update client records and booking information.
Assist in the preparation of travel documents, itineraries, and promotional materials.
Handle incoming and outgoing mail and deliveries.
Office Management:
Keep the reception area tidy and presentable with all necessary materials (e.g., brochures, maps, forms).
Monitor and order office supplies as needed.
Coordinate with cleaning staff to ensure a clean and organized office environment.
Support Services:
Assist travel agents with research and information gathering for client itineraries.
Handle basic bookkeeping tasks and process payments.
Coordinate travel arrangements for company staff when required.
Job Specification
High school diploma or equivalent; additional education in Medical is a plus.
Previous experience in a receptionist or customer service role, preferably within the Medical industry.
Excellent verbal and written communication skills.
Strong organizational skills and attention to detail.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
Ability to multitask and manage time effectively.
Friendly and professional demeanor with a customer-focused attitude.
Basic knowledge of travel software and booking systems is an advantage.
