Job Description
  • Greet and welcome visitors in a courteous and professional manner.
  • Answer and direct incoming calls to the appropriate department or individual.
  • Respond to inquiries from prospective and current students, providing information about our services and procedures.
  • Schedule appointments for student counseling sessions and maintain the appointment calendar.
  • Assist with administrative tasks such as sorting mail, filing documents, and maintaining office supplies.
  • Coordinate with other team members to ensure smooth operations and efficient customer service delivery.
  • Keep reception area clean and organized, creating a welcoming atmosphere for visitors.
  • Maintain confidentiality of sensitive information and adhere to company policies and procedures.
  • Handle inquiries and requests from students and other stakeholders promptly and effectively, escalating issues as necessary.
  • Perform other duties as assigned by management to support the overall functioning of the consultancy.
Job Specification
  • Proven experience as a receptionist or in a similar role, preferably in an educational or customer service setting.
  • Proficient in operating a multi-line telephone system and handling incoming calls with professionalism and efficiency.
  • Strong communication skills, both verbal and written, with the ability to interact effectively with a diverse range of individuals.
  • Excellent organizational skills, with the ability to prioritize tasks and manage time effectively in a fast-paced environment.
  • Attention to detail and accuracy in handling administrative tasks such as scheduling appointments, maintaining records, and handling correspondence.
  • Familiarity with office equipment such as fax machines, printers, and photocopier.
  • Ability to work independently with minimal supervision, while also collaborating effectively with team members to achieve common goals.
  • Customer-focused attitude with a commitment to providing exceptional service to students, visitors, and other stakeholders.
  • Professional demeanor and a positive attitude, with the ability to remain calm and composed under pressure.
