Job Description:
The Operations Trainee will provide support to WVI Nepal’s Field Operations in three major areas. They include 1. programme management, 2. readiness & integration and 3. administration & logistic. The incumbent is responsible to support the Programme Readiness and Integration unit for their extended hands in required areas. Learning and building skills is the final purpose of this role to develop his/her career growth.
MAJOR RESPONSIBILITIES
Support to ensure clear and accessible information for managing programmes and field operations.
Assist in updating information management systems/databases related to Resource Management and Organizational Capacity Building in Disaster Management in coordination with relevant staff who are the focal points of these priorities.
Support on data entry, updating and amending systems/databases as required.
Assist in generating analytical reports relevant to these systems/databases for effective decision making
Develop programme management communication materials to be published in the World Vision platforms and design the content and publish
Support to manage specific project tasks and outcomes which are assigned
Support to create report of the projects which are assigned and finalize it as per the standards
Regular update on integrated dashboard, Community feedback, Beneficiaries.
Update information and knowledge gathered through participation of meetings, training, workshop and exchange visit.
Coordination with PNGO Staff for project implementation
Regular database update on the cross-cutting theme and programme management
Facilitate organizational readiness and seamless integration
Support to build capacity of the WVI Nepal staff, Partner NGO staff on cross-cutting theme, disaster management
Support GEDSI Lead to conduct GEDSI assessment of PNGOs and analysis of APs
Understand and perform safeguarding responsibilities and obligations as per organizational policies and standards
Support on the Humanitarian Emergency Response set up and making the team ready for the possible future disaster
Support to Infrastructure unit in the National office and field office for sourcing analysis, past project history record and impact analysis
Support with administrative and logistic task
Support to organize events in-house or in external venue for the field operation business process
Support to programme start-up and closure logistic support. The logistic support will be ready for new project launch.
Support to organize field visits and key consultations of the programme or project related studies
Ensure the key field operation compliance as per the timeline and requirement of Support Office or Donors including WVI Nepal
Support to manage the international visitors and national visitors with the field plan, rundown, and itinerary. Communicate to the respective people on the visitor’s information or decision of the field operation
Demonstrate personal and professional growth
Plan and execute personal growth and skills on a quarterly basis and report to the staff concerned
Deliver performance as per the quarterly scorecard agreements, complete performance review and achieve personal development goal.
Demonstrate understanding of and commitment to World Vision’s Core Values in the approach to work and relationships
KNOWLEDGE/QUALIFICATIONS/ EXPIRENCE FOR THE ROLE
Required Education
Bachelor’s in development studies, Social Science, Communications or other relevant fields
Preferred Knowledge and Qualifications
Knowledge
Proficiency in Microsoft Office
Ability to do data analysis in excel
Proficiency in ICT skills required for blogging and/or web-based information systems
Ability to develop information graphics to communicate data trends
Skills
Administration skills
Coordination skills – ability to work and facilitate work across teams
Generative AI prompt skills
General knowledge on the administration and event management
Excellent writing skills in English
Experience
Good working knowledge of MS Office platforms
Learning attitude and can manage stress
