Responsibilities
- Support the accurate and timely recording of referral fees and commission-related data by ensuring all entries are properly documented in the system as soon as transactions occur. This helps prevent delays, reduces the risk of financial discrepancies, and ensures smooth reconciliation processes.
- Maintain and regularly update tracking sheets, logs, or internal systems used for monitoring referrals and commissions, ensuring that all information remains current, complete, and easily accessible for internal review and audits.
- Assist in verifying the accuracy of recorded data by cross-checking entries against source documents such as contracts, invoices, and agreements, helping to minimize errors and maintain data integrity.
- Identify discrepancies or inconsistencies in financial or referral data and report them promptly to the relevant team members, ensuring timely correction and proper resolution.
- Support the preparation of periodic (weekly, monthly, or quarterly) reports related to referral performance and commission payouts for management and stakeholders, ensuring reports are clear, accurate, and well-structured.
- Help analyze basic data trends in referrals and commissions to provide insights that can assist in decision-making, performance evaluation, and identifying improvement opportunities.
- Coordinate with internal teams such as sales, finance, and operations to collect necessary information related to new business deals, referrals, or commission structures, ensuring smooth information flow.
- Communicate effectively with team members to clarify missing or unclear information required for accurate data recording and reporting, maintaining professional and timely communication.
- Organize and maintain supporting documentation, including agreements, payment records, and correspondence, ensuring proper filing systems and easy retrieval when needed.
- Ensure all records are maintained in compliance with company policies and internal audit requirements to support transparency, accountability, and regulatory adherence.
- Follow established workflows and standard operating procedures while gradually learning internal reporting systems, tools, and compliance standards.
- Assist in improving data management processes by suggesting small enhancements or identifying inefficiencies in current tracking methods and workflows.
- Perform routine administrative tasks such as data entry, document formatting, and updating spreadsheets to support the overall workflow and team efficiency.
- Use basic data analysis tools (e.g., spreadsheets) to summarize information, generate simple reports, and highlight key figures for quick understanding.
- Strong attention to detail with the ability to manage and verify large volumes of data accurately.
- Basic analytical skills with the ability to interpret data trends and generate meaningful insights.
- Experienced in using spreadsheets and basic data management tools for tracking and reporting purposes.
- Good organizational skills to maintain structured records and documentation.
- Effective communication skills for coordinating with cross-functional teams and clarifying information.
