Position Overview

The HR & Admin Officer is responsible for managing and executing all human resource and administrative functions to ensure efficient operations across Vaidya Organization and Vaidya Energy Experience Centers, service centers, and corporate office. The role requires strong coordination, compliance knowledge, people management skills, and the ability to handle multi-location operations in a fast-growing EV business environment.

The position plays a key role in building a high-performance culture aligned with innovation-driven and customer-focused values.

Key Responsibilities

  • Human Resource Management
  • Recruitment & Talent Acquisition
  • Identify manpower requirements in coordination with department heads.
  • Draft job descriptions and post vacancies on job portals and social media.
  • Screen applications, conduct interviews, and coordinate final selection.
  • Manage offer letters, appointment letters, and employment contracts.
  • Ensure smooth onboarding and induction of new employees.
  • Employee Records & Documentation
  • Maintain updated employee files (hardcopy and digital).
  • Manage employee database, contracts, confirmations, and renewals.
  • Prepare HR reports (headcount, attrition, leave records, etc.).
  • Attendance, Leave & Payroll Support
  • Monitor daily attendance and leave records.
  • Coordinate payroll inputs (overtime, deductions, allowances).
  • Ensure timely salary processing in coordination with the finance department.
  • Maintain confidentiality of employee salary data.
  • Performance Management
  • Assist in implementing KPI-based performance appraisal systems.
  • Coordinate probation confirmation and annual performance reviews.
  • Support managers in setting performance goals.
  • Employee Engagement & Relations
  • Organize employee engagement activities, meetings, and team events.
  • Address employee grievances and workplace issues.
  • Promote positive workplace culture and ethical standards.
  • Support disciplinary actions as per company policy.
  • Compliance & Legal
  • Ensure compliance with Nepal Labor Act and employment regulations.
  • Maintain statutory records and support audits.
  • Update HR policies as per regulatory changes.
  • Ensure proper documentation for government compliance.
  • Administration Management
  • Office & Facility Management
  • Oversee day-to-day office operations.
  • Ensure cleanliness, safety, and maintenance of Experience Centers.
  • Manage utilities (electricity, internet, security services).
  • Vendor & Asset Management
  • Coordinate with vendors and service providers.
  • Maintain office inventory and asset register.
  • Handle procurement of office supplies and equipment.
  • Travel & Logistics
  • Arrange travel bookings and accommodation for management.
  • Coordinate transport and logistics support when required.
  • Documentation & Reporting
  • Maintain company records, agreements, and licenses.
  • Prepare administrative and operational reports for management.
  • Support management with documentation for expansion projects.
