Job Description

Role Summary:

The Front Desk Officer serves as the first point of contact for visitors and clients. This role is responsible for managing front office operations including greeting guests, answering incoming calls, handling inquiries, and supporting administrative tasks to ensure smooth day-to-day operations of the office.

Key Responsibilities:

  • Greet visitors and clients warmly, ensuring a professional and welcoming environment.

  • Answer, screen, and forward incoming calls and emails appropriately.

  • Maintain visitor logs and issue visitor passes as needed.

  • Manage and organize incoming and outgoing mail and deliveries.

  • Maintain cleanliness and order at the reception area.

  • Provide basic information to clients and direct them to the appropriate departments or personnel.

  • Assist in scheduling meetings, appointments, and managing calendars.

  • Maintain records, office supplies inventory, and place orders when necessary.

  • Support administrative staff with documentation, filing, and clerical tasks.

  • Handle basic complaints or queries and escalate to the appropriate department if needed.

  • Ensure front desk operations align with company policies and procedures.

Job Specification

Qualifications:

  • Minimum academic qualification: +2 (Higher Secondary Education); Bachelor's preferred.

  • Basic knowledge of office administration, documentation, and customer service.

Experience:

  • Minimum 1 year of experience in a similar front desk or administrative role preferred.

  • Freshers with good communication skills may also apply.

Skills and Competencies:

  • Excellent communication and interpersonal skills.

  • Good command of spoken and written English and Nepali.

  • Proficiency in Microsoft Office (Word, Excel, Outlook).

  • Pleasant personality with a professional appearance.

  • Ability to handle multiple tasks efficiently under pressure.

  • Punctual, well-organized, and customer service-oriented.

  • Discretion and confidentiality in handling sensitive information.
