Job Description

Job Summary:

We are seeking a highly organized and personable Receptionist to join our team. The Receptionist will be the first point of contact for the company, managing front desk operations, handling inquiries, and ensuring a welcoming environment for clients, customers, and visitors.

Key Responsibilities:

  • Greet and welcome visitors with a warm and professional demeanor.
  • Answer and direct phone calls to the appropriate departments.
  • Manage incoming and outgoing mail, including packages and deliveries.
  • Schedule appointments and manage meeting room reservations.
  • Assist with administrative tasks, such as filing, photocopying, and data entry.
  • Maintain the reception area, ensuring it is tidy and presentable.
  • Provide general information about the company and its services.
  • Assist with onboarding new employees, such as issuing visitor passes and directing them to the appropriate personnel.
  • Coordinate travel arrangements and hotel bookings for staff when necessary.
  • Support other departments with various administrative tasks as needed.

 

Job Specification

Qualifications:

  • Bachelor Degree ; additional certification in office management is a plus.
  • Proven work experience as a Receptionist, Front Office Representative, or similar role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Strong communication and interpersonal skills.
  • Excellent organizational and multitasking abilities.
  • Professional appearance and attitude.
  • Ability to manage a busy reception area and perform under pressure.
  • Knowledge of phone systems and office equipment (e.g., fax machines, printers).

Working Conditions:

  • Full-time position; 9AM to 5PM
  • Office environment, with frequent interaction with employees, clients, and visitors.
