Job Description
The Procurement Officer – Hospitality Interior is responsible for sourcing and purchasing FF&E items that align with the project’s design vision and brand standards. The role includes managing budgets, negotiating with vendors, coordinating logistics and installations, and ensuring all products are durable, functional, and suitable for hospitality use. The officer ensures timely procurement, strong supplier relationships, and seamless project execution.
Strategic planning:
- It goes beyond simply filling a space, involving detailed planning to ensure all items support the overall design and brand identity, while also meeting functional requirements for guest experience and durability.
FF&E Procurement:
- This is a core component, involving the selection and purchase of furniture, fixtures, and equipment. This includes everything from movable furniture to decorative lighting and appliances.
Budgeting and negotiation:
- A critical part of the process involves setting and managing budgets and using strong negotiation skills to secure goods and services at the right price.
Logistics and installation:
- Procurement professionals manage the complex process of delivering and installing all items, ensuring a seamless transition from purchase to completion.
Vendor management:
- This involves building strong relationships with a wide network of suppliers to ensure high-quality products and a reliable supply chain.
Brand alignment:
- The goal is to select products that align with the specific brand's standards, values, and design vision to create a cohesive and memorable guest environment.
Durability and maintenance:
- Items are chosen not only for their aesthetics but also for their ability to withstand heavy use and reduce long-term refurbishment costs.
Job Specification
- Minimum of 5 years in hospitality Interior procurement, preferably in FF&E, with knowledge of the hospitality construction industry.
Procurement and purchasing:
- Source, purchase, and track FF&E, materials, and equipment according to project specifications.
Vendor management:
- Develop relationships with suppliers, negotiate contracts, and manage vendor performance.
Budget and cost control:
- Ensure all purchases stay within budget, resolve price discrepancies, and manage proforma invoices.
Logistics and coordination:
- Coordinate shipping, manage deliveries, and oversee the installation of products to align with project timelines.
Project support:
- Work closely with interior designers, project managers, and clients to achieve project goals and resolve issues.
Documentation:
- Accurately enter purchase orders, track order progress, and maintain updated shipping and invoice reports.
Compliance:
- Ensure all purchases adhere to hotel policies and brand standards (e.g., Marriott, Hilton, IHG).
