About the Role
We are a software and marketing company working exclusively with international clients, primarily in the United States. Our services include performance advertising, SEO, local SEO, and growth-focused digital marketing solutions for service-based businesses.
We are looking for a Customer Care & Appointment Setter who can take full ownership of the lead-to-booking process for our US-based clients across multiple niches. This is not a passive role. We need someone who responds fast, communicates clearly, and gets leads booked — whether the client is a med spa, a law firm, a home services company, or a real estate team.
Speed to lead is the priority. Slow responses cost our clients money.
This is a full-time remote position for someone who can work independently, stay organized, and perform against real numbers.
Key Responsibilities
Lead Response & Speed to Lead — Full Ownership
- Contact every new lead within minutes of it landing in GoHighLevel (GHL) — by phone first, backed by SMS and email
- Run a structured multi-touch follow-up cadence until the lead books or clearly opts out
- Work leads across any niche we assign — learn each client's offer well enough to speak about it with confidence
Customer Care & Nurturing
- Be the warm, professional first point of contact for the client's leads
- Answer common questions, handle objections, and qualify leads so clients only get appointments worth their time
Appointment Setting & Pipeline Management
- Book qualified appointments directly into client calendars
- Keep GHL updated — log every call, text, and email; update pipeline stages; set follow-up tasks. If the CRM isn't updated, the work didn't happen
- Send confirmations and reminders to reduce no-shows
Reporting & Communication
- Track and report your own numbers: speed-to-first-contact, contact rate, booked appointments, and show rate
- Flag poor lead quality or broken tracking early
- Communicate clearly with account managers and, where needed, US clients
Required Qualifications
- 2+ years of hands-on experience in appointment setting, inside sales, or high-volume customer care / front desk
- Strong phone-based experience — confident and clear on calls
- Hands-on experience with GoHighLevel (GHL) or a comparable CRM/dialer
- Excellent spoken and written English with a US-friendly phone presence
- Proven ability to manage multiple client accounts and niches independently
- Comfortable being measured on KPIs — booking rate, response time, show rate

- Sales closing experience (not just setting)
