Key Responsibilities

Property Management Support

  • Collect and organize property owner details, prepare and manage property management agreements.
  • Assist with property advertising to attract quality tenants through various platforms.
  • Support the application process by screening and processing tenancy applications.
  • Lodge rental bonds with the relevant Bond Authority in a timely manner.
  • Prepare and complete all required tenancy documentation to initiate lease agreements on behalf of property owners.
  • Monitor rent arrears and alert the property manager of any overdue payments.
  • Maintain accurate records of maintenance requests, works, and follow-ups.
  • Act as a communication bridge between landlords and the property management team.
  • Assist with tenancy renewals and lease negotiations as needed.
  • Ensure all documents are filed and archived accurately for compliance and easy retrieval.

Accounting & Administrative Support

  • Assist with processing payments and receipts related to leasing activities.
  • Maintain and update trust account records within Property Tree.
  • Track and process leasing referral fees (letting fees) and ensure proper documentation.

CRM & Lead Management

  • Help maintain strong relationships with landlords and tenants through timely and professional communication.
  • Support the generation of new business leads by managing and updating the client database.
  • Contribute to lead follow-up and engagement strategies to support leasing growth.

Cross-Departmental Coordination

  • Liaise with internal departments to ensure alignment and efficiency in leasing processes.
  • Provide data support and feedback to enhance team coordination and service delivery.

What We Are Looking For

  • Bachelor’s degree in Real estate or a related field.
  • Minimum 2 years of experience in leasing support or a related field.
  • Prior experience in leasing, property management, or real estate administration is highly advantageous.
  • Fluent in both English, written and spoken. (English is the primary working language. Proficiency in Mandarin is a good advantage.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint), with strong capabilities in data processing and reporting.
  • Experienced in CRM systems and property management software; familiarity with Property Tree is preferred.
  • Excellent verbal and written communication skills.
  • Strong interpersonal and teamwork abilities, with the capability to work collaboratively with sales teams, clients, and internal departments.
  • Detail-oriented with a high degree of accuracy and responsibility.
  • Strong organizational and time-management skills; able to multitask, prioritize, and meet deadlines in a fast-paced environment.
  • Proactive, team-oriented mindset with a strong sense of customer service and commitment to delivering high-quality support.
  • Quick learner with the ability to adapt to new tasks and changing environments.
  • Able to handle work-related stress and maintain focus under pressure.
  • Solid understanding of Accounting Principles.
