Job Description
The Documentation/Admission Officer – Australia plays a key role in managing student documentation for Australian universities and visa applications. This position ensures documents are accurate, complete, and compliant with destination-specific requirements while providing timely support to students and counselors.
Key Responsibilities
Application Processing & Document Verification
- Collect, review, and verify academic, financial, and personal documents for Australian admissions.
- Ensure documents are authentic, complete, and meet university requirements.
- Submit applications, track offer progress, and manage accept/deferral processes.
- Maintain accurate student and application records in the CRM system.
Visa & Compliance Management
- Assist students in preparing GS (Genuine Student) documents, including SOP drafting and review.
- Prepare complete visa application files, ensuring all requirements meet DHA standards.
- Stay updated on Australian visa rules, ESOS Act, and National Code for full compliance.
- Coordinate offer conditions and payments for timely CoE issuance.
Communication & Coordination
- Communicate requirements, timelines, and checklists clearly to students and parents.
- Liaise with Australian institutions to follow up on offers and resolve application issues.
- Work closely with counselors for smooth transition from counseling to documentation.
- Support students with conditional offers, payments, and interview preparation.
Reporting & Process Improvement
- Prepare regular reports on application status and documentation quality.
- Recommend workflow improvements to enhance efficiency and reduce errors.
Job Specification
- Bachelor’s degree in a related field (advanced degree preferred).
- Minimum 1 year of experience as a Documentation/Admission Officer for Australia.
- Strong knowledge of Australian educational systems, visa requirements, and documentation processes.
- Excellent attention to detail and organizational skills.
- Strong communication and interpersonal abilities.
- Ability to multitask and work efficiently in a fast-paced environment.
- Commitment to excellent customer service and continuous process improvement.
