Job Description
  • Manage the day-to-day operations of the office, including scheduling meetings and appointments, organizing files, and handling correspondence.
  • Act as the point of contact between executives and internal/external stakeholders.
  • Manage vendor/supplier warehouse, including receiving, storage, and shipping.
  • Supervise logistics, warehouse, transportation and customer services.
  • Meet with vendors/suppliers on occasion, negotiate contracts, oversee and inspect work, evaluate and approve invoices, maintain proper documentation of work.
  • Coordinating with project engineers and site supervisors to ensure that projects are completed on time and within budget.
  • Monitor project progress and report any discrepancies to the executive.
  • Prepare reports, presentations, and other documents for the executives as required.
  • Coordinate travel arrangements for executives and handle related logistics.
  • Organize and maintain the office filing system, including electronic and hard copy documents.
  • Process and track invoices, purchase orders, and other financial documents as required.
  • Manage inventory of office supplies and equipment and order new supplies as needed.
Job Specification
  • Proven work experience as an Administrative Officer, Administrator or similar role.
  • Must have completed Bachelor’s degree in Management.
  • Must be aware of vendor management and logistics management technique.
  • Solid knowledge of office procedures.
  • Experience with office management software like MS Office (MS Excel and MS Word, specifically).
  • Strong organization skills with a problem-solving attitude.
  • Excellent written and verbal communication skills.
  • Attention to detail.
