Job Description
Job Summary:
The Office Secretary provides comprehensive administrative and executive support to the Chairman, manages the day-to-day operations of the office, and oversees internal coordination and staff supervision. This role also includes representing the Chairman in client meetings, assisting with external communications, and ensuring follow-through on key business matters. The candidate must be professional, confident, and capable of handling a dynamic work environment with authority and discretion.
Key Responsibilities:
1. Executive Support to Chairman
- Serve as the primary point of contact between the Chairman and internal/external stakeholders.
- Organize and coordinate the Chairman’s calendar, including meetings, appointments, and travel.
- Prepare agendas, minutes, reports, and presentations for executive use.
- Maintain confidentiality of sensitive company and client information.
- Monitor and follow up on tasks and communications delegated by the Chairman.
2. Client Relations & External Meetings
- Accompany the Chairman to client meetings, presentations, and business events.
- Take meeting notes, prepare summaries, and ensure follow-up on action items.
- Maintain professional relationships with clients and support business development efforts.
- Represent the Chairman in a courteous and businesslike manner during external engagements.
3. Office Management
- Oversee all aspects of office administration to ensure a productive work environment.
- Supervise office support staff and ensure timely completion of assigned duties.
- Maintain inventory, office supplies, and coordinate with vendors and service providers.
- Implement and enforce office procedures and policies.
4. Coordination and Command
- Communicate directives from the Chairman to relevant departments and staff.
- Ensure inter-departmental collaboration and workflow efficiency.
- Track progress on key projects and provide regular updates to the Chairman.
- Take initiative in resolving administrative or operational issues promptly.
Job Specification
- Bachelor's degree in Business Administration, Management, or a related field.
- Minimum 3 years of experience in HR or Operational supervisor
- Experience in client-facing roles or business communication.
- Excellent written and verbal communication skills.
- Strong organizational, problem-solving, and leadership skills.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
- Discretion, professionalism, and the ability to manage high-pressure situations.
