Job Description
Job Summary:
The Floor Coordinator is responsible for ensuring a seamless patient experience within the clinic by managing patient flow, documentation, coordination with departments, and maintaining compliance with medical and organizational standards. The role requires strong interpersonal, organizational, and administrative skills to enhance patient satisfaction and center performance.
Key Responsibilities:
Patient Service
Ensure smooth patient lifecycle management using multidisciplinary strategies and achieve center targets.
Welcome patients and visitors, manage inquiries (in-person/telephone), and complete check-in/check-out procedures.
Monitor waiting areas, track patient wait times, and communicate delays proactively.
Ensure proper file movement from reception to patient checkout.
Counsel registration/consultation patients regarding treatment plans as per their needs.
Ensure patients adhere to PCPNDT appointments without fail.
Provide indirect patient care support during emergencies.
Documentation & Records
Maintain daily, weekly, and monthly records of patient footfall, consultations, registrations, files, and ET data with proper remarks.
Ensure accuracy, confidentiality, and safety of medical records (physical & digital) accessible only to authorized personnel (MRD).
Review and track incomplete medical records and follow up on missing documentation.
Retrieve patient-related information from the system as required.
Human Resource Coordination
Complete onboarding formalities of new joinees at the center.
Upload scanned documents of new staff in the Z drive.
Coordinate HR-related activities and resolve queries for the respective center.
Miscellaneous Responsibilities
Strive to increase center footfall and improve visitor-to-conversion ratio.
Coordinate with the marketing team and assist in execution of marketing initiatives.
Liaise with different departments to achieve overall center objectives.
Ensure compliance with SOPs and PCPNDT standards.
Maintain a clean, safe, and patient-friendly environment.
Ensure patient privacy and confidentiality at all times.
Participate in quality improvement initiatives and training programs.
Participate in emergency drills (CPR, fire drills, etc.).
Job Specification
.Educational Qualification:
Bachelor’s degree in Management, Healthcare Administration, Nursing, or related field.
Experience:
1–3 years of experience in healthcare, hospital administration, fertility clinics, or patient coordination roles preferred.
Skills & Competencies:
Strong communication and counseling skills
Good interpersonal and coordination ability
Knowledge of medical documentation & records handling
Basic computer proficiency (MS Office, data management systems)
Ability to handle patient queries empathetically
Strong organizational and multitasking skills
Understanding of PCPNDT compliance (preferred)
Ability to work under pressure and manage emergencies
