Role Overview:

The HR Assistant supports the day-to-day operations of the HR team by handling administrative tasks across recruitment, onboarding, employee records, payroll preparation, and office coordination. Working closely with the HR Coordinator, this role helps ensure HR processes run smoothly, data is accurately maintained, and employees receive timely support throughout their lifecycle.

Responsibilities

Recruitment Support

  • Assist in posting job openings across job boards and internal channels
  • Screen resumes based on predefined criteria and shortlist candidates for review
  • Schedule interviews and coordinate availability between candidates and hiring teams
  • Support the preparation of interview documentation and candidate tracking updates
  • Assist in preparing job offers, contracts, and onboarding documents

Onboarding & Offboarding Support

  • Support onboarding logistics, including document collection, system setup requests, and orientation scheduling
  • Help coordinate new hire introductions, office setup, and basic onboarding checklists
  • Assist in employee offboarding processes, including clearance forms, asset tracking, and system access removal

Employee Records & HR Administration

  • Maintain and update employee records in HR systems and files
  • Assist in tracking attendance, leave records, and supporting payroll data preparation
  • Support updates of employee information and ensure data accuracy and confidentiality

HR & Office Support

  • Assist in distributing internal announcements such as holidays, reminders, and policy updates
  • Support coordination of employee engagement activities, small events, and office initiatives
  • Help with logistics for meetings, trainings, and HR-related events

Compliance & Coordination

  • Support adherence to HR policies and basic labor compliance requirements
  • Coordinate with vendors for office supplies and HR-related services as needed
  • Assist in processing documentation required for audits or HR reporting

Requirements

  • Bachelor's degree in Human Resources, Business Administration, Psychology, or related field
  • Minimum of 3 years of experience in HR, administrative, or office support roles
  • Basic understanding of HR processes (recruitment, onboarding, records management)
  • Strong organizational and time management skills
  • Good communication and interpersonal skills
  • Close attention to detail and accuracy
  • Ability to handle confidential information with discretion
  • Proficiency in Microsoft Office and Google Workspace
  • Willingness to learn and take initiative in supporting HR operations
