About the role
The Loksewa Coordinator is the central operational authority for the Loksewa Physical Vertical, responsible for end-to-end execution of academic, admissions, faculty, student discipline, exams, and SOP compliance.
This role exists to ensure:
- Zero ambiguity in decisions
- Smooth daily operations
- Strict SOP enforcement
- Continuity of classes and services
- Fair but firm handling of students, faculty, and staff
The Coordinator is the single point of accountability for everything that happens on the Loksewa Physical floor.
Key Responsibilities
Admissions, Enquiry & Conversion Oversight
- Oversee the admissions and enquiry process, including counselling, demo/trial classes, orientation programs, and admission/payment procedures.
- Ensure strict compliance with SOPs, including proper documentation, approval for discounts or exceptions, and adherence to payment policies.
- Handle escalations related to students, high-risk enquiries, and payment disputes.
Academic & Classroom Operations
- Oversee academic and classroom operations, including batch creation, scheduling, syllabus rotation, and classroom allocation.
- Ensure smooth class delivery, including faculty substitution during absence, proper classroom discipline, and avoiding overcrowding or unauthorized entry.
- Coordinate with faculty to maintain syllabus flow, ensuring no repetition or skipping of units.
Faculty Coordination & Control
- Serve as the main coordination point for faculty, including onboarding, SOP briefing, scheduling, and substitution management.
- Monitor faculty performance and compliance, including punctuality, attendance, conduct, and validating classes for payment eligibility.
- Address faculty-related issues, including complaints, student–faculty conflicts, and escalations to management when necessary.
Exams, Mocks & Materials Oversight
- Coordinate exams and mock tests, including scheduling, execution (physical/online), and invigilation.
- Ensure proper evaluation and result management, including timely checking, feedback delivery, and accurate result recording and communication.
- Control study materials, ensuring notes are released only after full payment and maintaining version control and leakage prevention.
Student Discipline, Grievance & Risk Handling
- Enforce student discipline and access rules, including classroom entry, ID card usage, one-day pass policies, and discipline SOPs.
- Handle student issues, including misconduct, grievances, and complaints, with escalation to Operations Supervisor or Management when required.
- Take corrective actions when necessary, including removing students from class, temporarily blocking access, or recommending suspension/removal as per SOP.
SOP Enforcement & Governance
- Enforce and uphold all Loksewa Physical SOPs, ensuring staff follow procedures without deviation.
- Prevent unauthorized practices, including verbal promises, parallel systems, and SOP violations.
- Support SOP governance, including reporting violations, participating in SOP reviews/updates, and ensuring system data is prioritized over verbal claims.
Daily Operations, MIS & Reporting
- Review and validate operational data, including enquiries, admissions, payments, attendance, dues/recovery status, and incident logs.
- Monitor daily operations and performance, conducting daily reviews and weekly performance analysis.
- Use MIS insights to assign and track corrective actions.
Emergency & Incident Management
- Act as the on-ground authority during emergencies, including medical incidents, safety issues, conflicts, and infrastructure disruptions.
- Coordinate with Operations Supervisor, Management, and external authorities as required under SOP.
- Ensure proper incident documentation and conduct post-incident reviews when necessary.
Decision Authority
- Authorized to make operational decisions, including approving demos/trials within SOP limits, managing batch creation and substitutions, adjusting classes, and temporarily blocking/restoring student access.
- Can recommend operational actions, such as refunds, removals, or escalations, and override routine processes during emergencies with proper documentation.
- Not authorized to approve policy-level decisions, including SOP changes, major financial write-offs, or management-level decisions.
