Location: Chandol, Kathmandu, Nepal
Shift: Standard (09:00 AM to 05:00 PM), Sunday to Friday 
Position Overview
As the Executive Assistant (EA) to the Chief Executive Officer, you will play a critical role in supporting the CEO across strategic, managerial, financial, and operational functions. Reporting directly to the CEO, this position acts as a trusted partner and first point of contact, ensuring seamless coordination of executive priorities.
The Executive Assistant serves as a liaison between the CEO, Board of Directors, senior management, and external stakeholders. The role requires high discretion, strong financial understanding, and the ability to support managerial decision-making, oversee special projects, and represent the CEO when required. The position also requires openness to frequent travel in support of business needs.
Roles And Responsibilities
Executive & Managerial Support
- Report directly to the CEO and assist in all managerial, strategic, and operational roles as assigned.
- Provide sophisticated calendar and schedule management for the CEO; prioritize meetings, resolve conflicts, and ensure optimal use of executive time.
- Work closely with the CEO to keep them informed of upcoming commitments, deadlines, and responsibilities, following up proactively.
- Act as the CEO’s representative where required and coordinate across departments to ensure execution of management decisions.
- Handle a wide range of administrative tasks including:
- Preparing reports, presentations, MIS, and executive summaries
- Drafting correspondence and official communication
- Managing travel arrangements, itineraries, expense, and mileage reports
- Supporting special projects and confidential assignments
- Serve as the primary point of contact for internal and external stakeholders on matters pertaining to the CEO, including highly confidential or sensitive issues.
- Exercise sound judgment to determine priorities, responses, and escalation, reflecting the CEO’s leadership style and company policy.
- Ensure confidentiality
- Maintain open communication with internal teams, including operations, technology, finance, and management teams.
- Coordinate Executive Team meetings, leadership reviews, offsite meetings, and retreats.
- Work with senior managers to coordinate the CEO’s outreach activities and follow up on key relationships.
- Build and maintain long-term internal and external relationships on behalf of the CEO.
- Finance & Business Support
- Support the CEO with financial data, reports, budgeting inputs, and management reviews.
- Assist in preparing presentations and summaries related to financial performance, budgets, and strategic initiatives.
- Leverage finance knowledge to support decision-making and management discussions.
- Be open and available to travel as required to support the CEO and overall business operations (travel may extend up to 7 consecutive days at a time).
- Demonstrate flexibility in working hours and responsibilities based on executive and business needs.
- Perform other duties as assigned by the CEO or line manager.
- Maintain strict confidentiality at all times regarding company information, communications, and matters pertaining to the CEO.
- Ensure all documents, discussions, and records—both digital and physical—are handled with discretion.
- Safeguard sensitive information from unauthorized access, disclosure, or misuse.
Task Related
- MBA (preferred) or Bachelor's degree completed; candidates with a Finance or Management background are strongly preferred.
- 2–3 years of experience as an Executive Assistant, Management Assistant, or in a managerial/finance support role.
- Finance background is mandatory, with the ability to understand financial reports, budgets, and management data.
- Experience working in an FMCG or fast-paced corporate environment is highly preferred.
- Expert proficiency in Microsoft Office (Excel, PowerPoint, Word); ability to create high-quality executive presentations and reports.
- Strong verbal and written communication skills in English.
- Excellent organizational skills with the ability to manage multiple priorities independently.
- Strong decision-making, problem-solving, and analytical abilities.
- High level of integrity, discretion, and confidentiality.
- Ability to work with urgency and adapt quickly to changing priorities.
- Comfortable switching between strategic, financial, and administrative tasks seamlessly.
- Professional maturity to work closely with senior leadership and external stakeholders.
