Job Description
An Administrative Officer for Registry, Timetable, and Examination (RTE) is a critical role in educational institutions, responsible for managing the student lifecycle from enrollment to graduation, coordinating academic schedules, and overseeing assessment processes. They ensure compliance with academic regulations, manage student records, and facilitate the smooth execution of examinations.
Key Responsibilities
1. Registry and Student Records
• Enrollment & Registration: Manage student registration for courses, modules, and examinations.
• Record Maintenance: Maintain accurate, up-to-date student details and academic records in online/offline systems.
• Documentation: Process student transfers, withdrawals, and deferrals.
• Certification: Handle graduation processes, including issuing transcripts, degree scrolls, and letters of recommendation.
2. Timetable Management
• Schedule Planning: Develop and implement class timetables and exam schedules.
• Resource Coordination: Maximize room utilization and resolve scheduling conflicts.
• Communication: Coordinate with faculty to align schedules with academic requirements.
3. Examination Administration
• Exam Logistics: Organize exam venues, seating plans, and invigilation schedules.
• Paper Management: Coordinate the production, secure handling, and distribution of examination papers.
• Assessment Handling: Process and collect student assignments, manage submissions, and process exam results.
• Compliance: Ensure examinations follow institutional and university guidelines.
Required Qualifications and Skills
- Education: Bachelor’s degree or above in Computer Science, Business Administration or a related field.
- Experience: Prior experience in educational administration is highly preferred with strong knowledge of university-affiliated academic systems and examination processes.
- Technical Skills: Proficiency in Microsoft Office (especially Excel) and specialized software like Exam Scheduler, or Student Management Systems.
- Soft Skills: Strong communication, organizational skills, problem-solving, and the ability to work under pressure.
