Job Summary
We are seeking a detail-oriented and motivated Executive Assistant to MD with 2-3 years of
experience to join our team.
Responsibilities
- Manage the MD’s calendar, coordinate meetings across time zones, and ensure schedules are followed efficiently.
- Monitor and manage emails on behalf of the MD, including drafting and proofreading professional correspondence.
- Arrange travel plans for the MD and international team, including flights, accommodations, visas, and itineraries.
- Prepare agendas, meeting materials, presentations, and minutes; ensure timely follow-ups and circulation to stakeholders.
- Coordinate with internal departments and external stakeholders, including vendors and key clients, maintaining a professional and cordial relationship.
- Oversee vendor contracts, ensuring timely renewals and proper documentation.
- Prepare accurate daily and weekly reports for the MD and maintain relevant company data.
- Support key project deliverables by tracking milestones, assisting in documentation, and following up with internal teams as needed.
- Serve as a point of contact for internal communications related to the MD’s directives and ensure smooth implementation.
- Handle confidential information with discretion and perform any additional duties assigned by the MD.
- Proven experience as a Personal Assistant or Executive Assistant, preferably supporting senior leadership.
- Excellent verbal and written communication skills in English.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
- Strong organizational skills with the ability to multitask and prioritize effectively.
- High degree of professionalism, discretion, and time management.
- Ability to adapt to changing schedules and work independently.
- Knowledge of Chinese language (spoken and/or written) is a plus and will be considered an asset.
- Strong interpersonal skills and a proactive approach.
