Job Description
Position Title: Executive Assistant to Managing Director
Location: Kathmandu, Nepal (with occasional travel)
Reporting To: Managing Director – Hulas Group
Employment Type: Full-time
Position Summary:The Executive Assistant (EA) will serve as the right hand to the Managing Director (MD), providing high-level administrative, organizational, and strategic support. The ideal candidate will act as a gatekeeper, project coordinator, and liaison across multiple internal and external stakeholders, helping optimize the MD’s time, decisions, and impact.
Key Responsibilities:Executive Support:- Manage and optimize the MD’s calendar: scheduling, prioritization, and reminders.
- Draft, review, and edit correspondence, presentations, reports, and board materials.
- Handle confidential documents and sensitive information with discretion.
- Organize and prepare MD’s documents for meetings, reviews, and strategic discussions.
- Serve as primary point of contact between the MD and internal teams, clients, vendors, investors, and partners.
- Draft professional communication (emails, memos, updates) on behalf of the MD.
- Coordinate meetings across departments and follow up on action items.
- Track progress of key initiatives across companies (e.g., IPO prep, plant expansions, VC fundraising).
- Assist in preparing investor decks, reports, and external documentation.
- Coordinate travel, visas, accommodation, and itinerary planning.
- Conduct research and compile briefings, background material, and talking points.
- Create and maintain task/project dashboards, manage deadlines and deliverables.
- Maintain organized digital and physical filing systems for the MD’s workstreams.
- Bachelor’s degree; preference for MBA or business/management background.
- 4–8 years of experience supporting C-level executives.
- Exceptional written and verbal communication in English; Nepali proficiency is a plus.
- Strong proficiency in MS Office (Excel, PowerPoint, Word), Google Workspace, and productivity tools like Notion, Trello, or Slack.
- High attention to detail, organizational skills, and ability to multitask.
- Discreet, trustworthy, and reliable under pressure.
- Able to anticipate needs and work proactively.
- Confident in dealing with senior stakeholders and clients.
- Willing to occasionally work flexible hours, including weekends, if required.
