Job Description

The Parts Manager is responsible for setting and achieving departmental goals and objectives, ensuring high performance across all parts operations. This includes hiring, training, motivating, counseling, and monitoring the performance of the parts department staff.

Key Responsibilities:

Strategic Planning & Goal Setting:

  • Forecast departmental goals and work proactively to meet them.
  • Attend management meetings and conduct weekly departmental meetings.

Staff Management:

  • Hire, train, motivate, and counsel all parts department personnel.
  • Monitor and manage employee performance and maintain accurate payroll records.
  • Allocate Parts Assistants as listed in the FMS system and ensure FMS IMS sheets are correctly filled.

Inventory & Stock Management:

  • Maintain a balanced inventory aligned with service and body shop requirements.
  • Set and maintain individual parts inventory levels for optimal turnover.
  • Monitor and adjust inventory to minimize obsolescence and dead stock.
  • Ensure proper tagging of all parts for accurate factory credit recovery.

Ordering & Pricing:

  • Supervise stock order procedures and enforce policies for special part orders.
  • Ensure stock orders represent at least 90% of total parts orders.
  • Establish pricing strategies for different customer categories that ensure profitability while maintaining customer loyalty.

Financial Performance:

  • Analyze monthly sales, expenses, and inventory to maintain and achieve profit goals.
  • Develop and utilize lost sales tracking reports and analyze sales productivity.
  • Take advantage of manufacturer co-op advertising opportunities.

Customer Service & Satisfaction:

  • Ensure exceptional service is provided to both external and internal customers.
  • Handle customer complaints promptly and in accordance with dealership policies.
  • Develop, implement, and monitor customer service guidelines to ensure satisfaction.

Operational Excellence:

  • Work closely with the service manager to ensure timely availability of parts for internal jobs.
  • Monitor daily reports and ensure timely paperwork processing.
  • Direct shipping and receiving to ensure efficient and prompt handling of parts.
  • Analyze and revise departmental layout and operations for improved effectiveness.
  • Supervise custodial staff to maintain a clean and professional work environment.

Promotions & Sales Development:

  • Develop and implement sales promotions.
  • Ensure dealership purchases are properly documented before payment.

Professional Conduct:

  • Maintain a professional appearance and set a standard for the department.

 

 

 

Job Specification

Knowledge & Skills:

  • Strong understanding of automotive parts and components.
  • Knowledge of dealership operations, service department coordination, and body shop needs.
  • Familiarity with manufacturer systems, parts management software (e.g., FMS), and inventory tracking tools.
  • Excellent knowledge of pricing strategies and gross profit management.
  • Ability to analyze sales reports and forecast inventory needs.
  • Familiarity with lost sales tracking and manufacturer advertising programs.

Technical Skills:

  • Proficient in dealership management systems (e.g., FMS, IMS).
  • Computer literate with strong skills in MS Excel, Word, and Outlook.
  • Knowledge of ERP systems and automated inventory control systems.
