Job Description
  • Monitor and ensure that tender submission due dates are strictly adhered and in line with customer’s requirements.
  • Keep track of documentation which needs to be handled on time and deliver to respective person.
  • Initiate and update Online / Offline Registration of the Company and prepare the documents, obtain relevant information for the Pre-qualification.
  • Communicate with vendors as needed, such as non-disclosure agreements, confirmation of interest, etc.
  • Timely follow up after submission, create, maintain, and enter information and contact list and progress report into databases.
  • Preparation of documents related to invoices, purchase orders, packing lists, bills of lading, certificates of origin.
  • Liaise with shippers, carriers, and brokers to optimize the various documents that may be needed for a successful transaction.
  • Responsible for ensuring that documents are accurate, complete, and in compliance with government regulations regarding international trade (such as customs, transportation, and import/export).
  • Perform any other duties as assigned by supervisor and management under scope of work.
  • Gathering invoices, statements, reports, personal details, documents and information from employees, other departments and clients.
  • Scanning through information to identify pertinent information.
  • Creating accurate spreadsheets.
  • Entering and updating information into relevant databases.
  • Ensuring data is backed up.
  • Informing relevant parties regarding errors encountered.
  • Storing hard copies of data in an organized manner to optimize retrieval.
  • Handling additional duties from time to time.
Job Specification
  • Experience in the field of documentation or in similar position or job responsibility in any organization would be advantageous
  • Must have completed +2/ Bachelor degree.
  • Time management skills and the ability to prioritize work.
  • Organizational skills with the ability to multi-task Proficient.
  • Proficiency on computer programs such as Google Doc, Microsoft Word, Excel Outlook and PowerPoint.
