Job Description

The Admin and Finance Officer will be responsible for managing day-to-day administrative and financial operations of the organization. This includes bookkeeping, financial reporting, office management, logistics coordination, and support for HR and procurement activities. The role requires a detail-oriented individual with good communication, accounting, and organizational skills.

Key Responsibilities:

Financial Duties:

  • Maintain accurate and up-to-date financial records (vouchers, receipts, invoices, ledgers).
  • Assist in preparing monthly and annual financial statements and reports.
  • Handle petty cash, bank deposits, and reconciliation.
  • Process payments to vendors, staff, and service providers on time.
  • Support budget preparation and expense tracking against allocated budgets.
  • Coordinate with auditors, suppliers, and banks when required.
  • Ensure compliance with company policies, tax, and accounting standards.

Administrative Duties:

  • Oversee office operations, inventory, logistics, and supplies.
  • Maintain employee attendance records and leave management.
  • Assist in recruitment processes, documentation, and HR file updates.
  • Handle correspondence, filing systems, and official documentation (physical and digital).
  • Support management in organizing meetings, events, and travel arrangements.
  • Ensure a clean, efficient, and professional office environment.
  • Coordinate with vendors and service providers for administrative needs.

Other Duties:

  • Provide administrative and financial reports to management as required.
  • Ensure confidentiality and accuracy in handling company financial data.
  • Perform any other duties assigned by the management team.
Job Specification

Education & Experience:

  • Bachelor’s degree in Business Administration, Finance, Accounting, or related field.
  • Minimum 1 year of experience in a similar role (Admin/Finance/Accounts).
  • Experience in handling accounting software (Tally, FAMAS, or similar) preferred.

Skills & Competencies:

  • Good knowledge of accounting principles and financial reporting.
  • Proficient in MS Office (Excel, Word, PowerPoint).
  • Strong organizational and multitasking skills.
  • Good communication and interpersonal abilities.
  • Attention to detail, accuracy, and integrity in financial handling.
  • Ability to work independently with minimal supervision.
  • Familiar with general administrative procedures and HR documentation.
