Job Description

Role Overview:

As a Recruitment Administrator (RA), you will provide administrative and operational support to RPMs in Zagreb, Croatia. You will work in a structured remote environment supporting documentation-heavy workflows. This role demands high attention to detail, organizational skills, and the ability to manage strict deadlines effectively.

Key Responsibilities:

  • Prepare employment offers and contracts according to RPM guidance.
  • Collect, verify, and organize documentation for work permits (e.g., passports, diplomas, clearances).
  • Submit and track applications via HZZ (Croatian Employment Service).
  • Manage visa applications with suppliers and candidates.
  • Handle residency documentation (Boravišna).
  • Monitor and update tasks using Excel, Manatal (ATS), and Microsoft Planner.
  • Maintain accurate data records in ATS and task management tools.
  • Liaise with suppliers (e.g., JVCS), candidates, and internal stakeholders.
  • Ensure compliance with legal deadlines for renewals and cancellations.
  • Respond to candidate queries about documentation, salary, accommodation, etc.
  • Maintain auditable reports and organized records.

Working Environment:

  • Work with a specific RPM in a highly collaborative virtual office with 2–3 other RAs.
  • Report daily on task completion and pending statuses.
  • Align working hours with Central European Time (CET/CEST):
  • Start: 7:00 AM Zagreb / 10:45 AM Nepal
  • End: 5:00 PM Zagreb / 8:45 PM Nepal
Job Specification

Core Competencies:

  • High attention to detail, especially in legal and official documents.
  • Strong organizational and multitasking capabilities.
  • Adherence to procedures and structured processes.
  • Professional English communication (written and verbal).
  • Proactive problem-solving and escalation awareness.
  • Strict deadline management.
  • Tech-savvy: Comfortable with Excel, ATS (especially Manatal), Microsoft Teams, and workflow tools.

Preferred Experience:

  • 1–3 years of experience in administrative roles (recruitment, HR, immigration, or shared services).
  • Prior exposure to European market operations is a plus.
  • Familiarity with Manatal ATS is highly desirable.
