Job Description

Hulas Steel Industries Limited is seeking an Executive Secretary to support senior management with daily administrative coordination, document control, and schedule management in a manufacturing environment. The role is ideal for a detail-focused professional who can maintain efficiency under pressure and ensure timely follow-up on internal communications.

Key Responsibilities

  • Manage and maintain the executive’s calendar, meeting schedules, and appointment coordination across departments
  • Prepare, format, and compile documents, reports, letters, and presentations in line with company standards
  • Handle incoming calls, emails, and visitors, routing requests to the appropriate internal teams promptly
  • Coordinate meeting agendas, take meeting notes, track action items, and follow up to ensure closure
  • Maintain organized filing systems (physical and digital), ensuring accurate record keeping and retrieval
  • Support internal correspondence and inter-department coordination, including reminders and document handovers
Job Specification
  • Bachelor’s degree in management, Business Studies, Office Management, or a related field
  • 2+ years of relevant experience as an executive assistant/secretary or in a similar administrative support role
  • Ability to manage stress and prioritize tasks effectively—handle competing deadlines while maintaining accuracy and responsiveness
  • Ability to perform under pressure—remain consistent during urgent internal requests, audits, and last-minute schedule changes
  • Ability to work independently and also in a group—manage tasks with minimal supervision while collaborating with operations, accounts, and HR
  • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) for documentation, reporting, and scheduling
  • Experience with document formatting, filing, and records management to ensure version control and easy retrieval

Nice to Have

  • Experience supporting senior executives in manufacturing, logistics, or industrial operations
  • Familiarity with basic office procedures for ISO/document control practices
  • Knowledge of Nepali and English business correspondence and professional email drafting
