Job Description

Job Summary:
An Administrator plays a crucial role in the efficient running of our office. Supporting the day-to-day function and carrying out a range of administrative and business support tasks. They set the tone and the pace of the office and can make everyone else more effective at their jobs.

Responsibilities and duties:

Core Responsibilities

To maintain internal systems and work flow

  • Assists managers and supervisors in developing policies and procedures.
  • Conduct trainings to employees, if and when required.

Monitoring Office Supplies and ordering and distributing new supplies as needed.

  • Prepares order plans, purchase orders, purchase requisitions and ensures
  • proper procedures for paying service providers
  • Supplies Entry and Inventory management
  • Supplies Issuance
  • Consumption tracking and report

Requisition management

Asset Management

  • Updating and maintaining the Asset registry
  • Carrying out the asset issuances
  • Coordinating Asset Insurances and claims, renewal processing and updates.
  • Managing general office assets

Facilities management

  • Ensuring all the basic facilities are efficiently running (Internet/ Telephone/Water supply/Electricity/ Garbage and waste
    disposal/ Cleanliness and safety)
  • Coordinating building maintenance and repairs internally or with outside
    contractors.
  • Overseeing the support staffs to ensure work is being carried out properly.
  • Reviewing and maintaining all third-party contracts and agreements to ensure
    that they are being renewed, updated, and followed.
  • Ensuring that all Planned Maintenance schedules are up to date and that any
    remedial works(s) are undertaken quickly.
  • Coordinating any construction or remodeling projects internally or with
    contractors, and other outside parties

Database management

  • Managing and organizing our filing and record system, physically as well as
    digitally.
  • Ensuring our databases are updated and secure.
  • Ensuring our forms, SOPs, Management Memos, Policies are properly logged.

Managing travel

  • Overseeing travel plans are verified for both Domestic and International.
  • Coordinating/Overseeing travel bookings (hotel/flights) and allowances (TADA)
  • Audits/processes travel expense claims.

Communications

  • Creating, verifying and circulating various Internal Communications
  • Dealing with daily enquiries via phone, email and social media, and directing
    queries to the relevant member of staff or department.
  • Coordinating and scheduling meetings, appointments and events.

Accounts and Billing

  • Receives and audits invoices for accuracy and compliance
  • Ensure prompt payment of third-party payments of departmental bills, to
    ensure work is not hampered.
  • Maintains accounts payable and accounts receivable records.
  • Support budgeting and bookkeeping procedures
    Petty-cash handling and reporting

Welcoming visitors and assisting with guest hospitality

Handling event planning for meetings and other department initiatives.

Solves problems associated with vendors regarding shipments, billing, and statements.

Submit timely reports and prepare presentations/proposals as assigned.

Day-to-day work

  • Manage data in spreadsheets and reports
  • Keep records and reports up to date
  • Drafts reports and correspondence.
  • Coordinate/Attends meetings and takes meeting notes.
  • Liaises with internal and external units to carry out job tasks.
  • Supervise other staff and delegate responsibilities
  • Carry out clerical duties, including answering phones and preparing documents
  • Support management team where required

This position will from time to time be required to undertake other duties of a similar nature as reasonably required by your supervisor. This position will also serve as a substitute for HR work when required and vice versa.
