Job Description

We are looking for a Front Desk Officer who will be responsible for managing reception operations, handling visitors and inquiries, and supporting smooth day-to-day administrative activities.

Key Responsibilities

  • Greet and welcome patients, visitors, and clients in a professional and courteous manner.
  • Manage the reception area and ensure a clean, organized, and welcoming environment.
  • Handle incoming calls, messages, emails, and general inquiries promptly.
  • Provide accurate information regarding healthcare services, appointments, procedures, and general queries.
  • Schedule, confirm, and manage patient appointments as required.
  • Maintain patient and visitor records while ensuring confidentiality and accuracy.
  • Register new patients and update relevant information in the system.
  • Coordinate with doctors, nurses, healthcare staff, and other departments for smooth patient flow.
  • Manage appointment-related communications and follow-ups.
  • Receive and direct visitors to the appropriate department or personnel.
  • Handle basic administrative tasks, documentation, filing, and data entry.
  • Assist with billing, payment collection, receipts, or other front-office financial activities when required.
  • Maintain records of daily front-desk activities and prepare reports when necessary.
  • Handle patient concerns professionally and escalate issues to the appropriate authority.
  • Maintain confidentiality of patient and organizational information at all times.
  • Perform other front-office and administrative duties assigned by management.
Job Specification
  • Bachelor’s degree or equivalent qualification in Management, Business Administration, Hospitality, Healthcare Administration, or a related field.
  • Minimum 1 year of relevant experience in front desk, reception, customer service, or administrative roles; experience in a healthcare environment will be an advantage.
  • Excellent verbal and written communication skills.
  • Good command of Nepali and English; knowledge of additional languages is an advantage.
  • Proficiency in MS Office, email, and basic computer applications.
  • Pleasant personality with a professional and patient-friendly approach.
  • Strong organizational and multitasking abilities.
  • Good interpersonal and problem-solving skills.
  • Ability to remain calm and professional when handling patients or difficult situations.
  • High level of responsibility, confidentiality, and attention to detail.
