Job Description

We are looking for a responsible, organized, and detail-oriented Administrative Officer to oversee daily administrative operations and ensure the smooth and efficient functioning of the office. The ideal candidate will have strong organizational and communication skills, the ability to manage multiple tasks, and experience in office administration and coordination.

Key Responsibilities

  • Manage daily administrative operations and ensure smooth office functioning.
  • Maintain and organize office records, documents, files, and databases.
  • Handle correspondence, emails, phone calls, and general office communications.
  • Coordinate meetings, appointments, schedules, and travel arrangements.
  • Monitor office supplies and coordinate the procurement of stationery, equipment, and other requirements.
  • Maintain employee attendance, leave records, and personnel files.
  • Coordinate with vendors, service providers, utility companies, and other external parties.
  • Provide administrative support to HR, management, and other departments.
  • Assist in implementing and maintaining office policies and procedures.
  • Ensure proper office cleanliness, safety, security, and maintenance.
  • Prepare reports, letters, memos, notices, and other administrative documents.
  • Assist in organizing company events, meetings, staff activities, and other office programs.
  • Handle general office inquiries and provide necessary administrative assistance.
  • Identify administrative issues and coordinate with the concerned parties for timely resolution.
  • Perform other administrative duties as assigned by management.
Job Specification
  • Bachelor’s degree in Business Administration, Management, or a related field.
  • 1–3 years of relevant experience in administration, office management, or a similar role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong organizational, coordination, and multitasking skills.
  • Excellent verbal and written communication skills.
  • Strong attention to detail and effective time-management abilities.
  • Good problem-solving and decision-making skills.
  • Ability to maintain confidentiality and handle sensitive information professionally.
  • Ability to work independently as well as collaboratively with different departments.
  • Ability to work under pressure and meet deadlines.
  • Professional attitude, positive personality, and strong work ethic.
  • Experience with office management software or ERP systems will be an added advantage.
