Job Description

We are seeking a highly organized, professional, and proactive Executive Secretary cum Administrative Officer to provide comprehensive executive and administrative support to senior leadership. The ideal candidate should possess excellent communication skills, exceptional organizational abilities, and the highest level of confidentiality and professionalism.

Key Responsibilities

Executive & Secretarial Support

  • Draft, format, and manage official correspondence, notices, reports, and other documents in both Nepali and English.
  • Prepare meeting agendas, attend executive and committee meetings, and record accurate minutes.
  • Manage executives' calendars, appointments, travel schedules, and follow up on action items.
  • Coordinate and liaise with government offices, member organizations, stakeholders, and external institutions.
  • Maintain strict confidentiality while handling sensitive organizational information.
  • Assist senior leadership in preparing speeches, presentations, reports, and event-related documentation.

Administration & Office Operations

  • Oversee day-to-day office administration, filing systems, and document management (both physical and digital).
  • Supervise administrative support staff and coordinate office operations and logistics.
  • Manage procurement activities, vendor coordination, and office supplies.
  • Support the planning and execution of meetings, seminars, conferences, and organizational events.
  • Maintain and update member, stakeholder, and organizational records.
  • Serve as the primary point of contact for routine administrative inquiries and ensure smooth office operations.
Job Specification
  • Master's degree in management, Business Administration, or a related discipline (preferred).
  • Minimum 5 years of relevant experience in executive secretarial and/or administrative roles; 7–10 years of experience will be highly preferred.
  • Excellent written and verbal communication skills in Nepali, English, and Hindi (mandatory). Language proficiency will be assessed during the selection process.
  • Strong proficiency in MS Office (Word, Excel, Outlook) and digital documentation systems.
  • Previous experience in an association, corporate office, chamber, NGO/INGO, or similar institutional environment will be an added advantage.
