Vie Tec is seeking a proactive, organized, detail-oriented, and multitasking Data & Administrative Assistant to support the Data Analyst and HR & Administration Department in daily operational, reporting, coordination, and administrative activities. The candidate will be responsible for data management, reporting, workflow tracking, task coordination, system support, onboarding assistance, interview scheduling, and administrative operations to ensure smooth workflow and communication across departments.
Key Responsibilities
Collect, organize, maintain, and update data from company systems and software.
Assist the Data Analyst in data filtration, segregation, validation, and report preparation.
Maintain accurate reports related to Work in Progress (WIP), pending tasks, completed tasks, and departmental tracking reports.
Prepare daily, weekly, and monthly reports as required by management.
Monitor workflow progress and coordinate follow-up on pending and priority tasks.
Assist in system design coordination, workflow documentation, and process monitoring.
Identify gaps, inefficiencies, and operational issues within the Flow Management System (FMS) and provide suggestions for workflow and system improvement.
Support HR Manager in interview scheduling, candidate coordination, onboarding processes, and employee documentation.
Assist in operational, administrative, and coordination-related tasks assigned by management.
Maintain proper records, reports, files, and internal documentation.
Support daily office operations and administrative activities.
Prepare and maintain professional reports, presentations, and documentation using Microsoft Excel, Word, Canva, and basic Photoshop.
