Job Description

The Executive Assistant plays a vital role in supporting the Deputy Managing Director and their team. This position demands adaptability, multitasking, and maintaining discretion when handling sensitive information. The role involves acting as a liaison with the board of directors, senior management, and external stakeholders while managing executive outreach and special projects. The Executive Assistant will build strong relationships across teams and externally, serving as the first point of contact for the Deputy Managing Director.

Roles and Responsibilities

Point of Contact:

  • Act as the primary liaison for internal and external communications on behalf of the Deputy Managing Director, maintaining confidentiality.
  • Filter and prioritize inquiries, ensuring timely and appropriate responses.

Executive Coordination:

  • Collaborate with the Executive Team to organize meetings, retreats, and events.
  • Facilitate the Director’s outreach activities and follow up on key contacts to nurture relationships.

Calendar and Meeting Management:

  • Manage complex scheduling for the Deputy Managing Director.
  • Prioritize and address scheduling conflicts while offering strategic recommendations to ensure seamless operations.

Administrative Support:

  • Handle diverse administrative tasks such as preparing reports, presentations, correspondence, and meeting materials.
  • Coordinate travel arrangements and manage expense reports.
  • Maintain and update contact lists.

Information Management:

  • Keep the Deputy Managing Director informed about commitments and responsibilities, providing timely updates and follow-ups.
  • Work closely with team members to share relevant information and documentation.

Relationship Building:

  • Foster strong relationships internally and externally, representing the Deputy Managing Director’s interests.

Other Duties:

  • Undertake additional responsibilities as assigned by the line manager.
Job Specification
  • Qualification: Bachelor’s degree in Business Administration or a related field.
  • Background: Strong financial knowledge is required.
  • Experience: Minimum 2 years of executive support experience; experience in an FMCG company is highly preferred.
