Job Description
We are seeking a friendly and professional Medical Receptionist to be the first point of contact for patients and visitors. The ideal candidate will combine excellent communication skills with organizational abilities and basic medical knowledge to ensure a seamless patient experience.
Key Responsibilities:
Patient Interaction & Communication
- Welcome and assist patients and visitors warmly, ensuring a positive experience.
- Answer, screen, and forward phone calls; provide accurate information on services, procedures, and appointments.
- Handle patient inquiries professionally and empathetically, addressing concerns and providing guidance.
- Collect and verify patient information, including health history and insurance details, while maintaining confidentiality.
Appointment Management
- Schedule, confirm, and update patient appointments efficiently.
- Maintain an accurate appointment calendar to ensure smooth daily operations.
- Notify patients promptly about changes or cancellations.
Administrative Duties
- Manage mail, deliveries, and couriers.
- Perform receptionist duties such as filing, photocopying, and maintaining patient records.
- Generate invoices, process payments, and issue receipts accurately.
- Maintain the patient database and update medical records in compliance with data protection laws.
Medical Support Coordination
- Act as a liaison between patients, medical staff, and administrative teams.
- Assist patients in understanding treatments, medications, and post-treatment care.
- Monitor and maintain inventory of medical supplies and coordinate procurement.
Reporting & Documentation
- Keep accurate records of daily transactions, including patient registrations and billing.
- Prepare and submit daily, weekly, and monthly reports on sales, patient flow, and staff performance.
- Ensure timely updates of patient OPD cards and billing records.
Facility & Operations Management
- Maintain a clean, organized, and presentable reception and waiting area.
- Manage stock of medical and non-medical supplies.
- Provide administrative support to ensure smooth clinic operations.
Job Specification
- Proven experience as a Medical Receptionist or in a similar role within a healthcare setting, or relevant experience in the health sector.
- Basic understanding of medical terminology, procedures, and billing processes.
- Excellent verbal and written communication skills.
- Proficient in clinic management software, accounting software, and MS Office.
- Strong multitasking, time management, and problem-solving skills.
- Friendly, empathetic, and professional demeanor.
- Knowledge of health and wellness is an advantage.
- Certification or training in healthcare administration is a plus.
